Full job description

We are seeking a professional and customer-focused Office Administrator to join our residential rental property team. This role is ideal for someone who thrives in a fast-paced environment, enjoys working with people, and has strong organizational and leasing skills.

You will support the Property Manager while managing the full leasing cycle and contributing to an exceptional resident experience.

Key Responsibilities

Leasing & Marketing

  • Respond promptly to rental inquiries and generate leasing leads
  • Schedule and conduct apartment showings
  • Inspect suites to ensure they are market-ready
  • Perform comparative market analysis of competing properties
  • Maintain strong closing ratios through effective follow-up

Application & Lease Administration

  • Collect and review rental applications, supporting documents, and consent forms
  • Prepare lease agreements and related documentation
  • Ensure all lease files are accurate, complete, and entered into the property management system
  • Prepare resident welcome packages

Resident Relations

  • Build positive, professional relationships with residents
  • Address resident concerns and complaints in a timely and courteous manner
  • Promote a welcoming and harmonious community atmosphere
  • Provide feedback and recommendations to the Property Manager to improve resident satisfaction

Turnover & Operations Support

  • Coordinate move-ins, move-outs, and internal transfers
  • Plan and schedule unit maintenance and turnover activities
  • Provide weekly activity and leasing updates to the Property Manager

Administrative Duties

  • Establish work priorities and ensure deadlines are met
  • Follow company policies and operational procedures
  • Support general office administration
  • Coordinate office services including supplies, equipment, forms, and logistics
  • Initiate and support rent collection activities

Qualifications

  • Previous leasing, real estate, or property management experience preferred
  • Strong sales, customer service, and closing skills
  • Excellent verbal and written communication skills
  • Professional, friendly, and service-oriented demeanor
  • Highly organized with strong multitasking and time-management abilities
  • Detail-oriented and able to work independently
  • Comfortable working with diverse populations with cultural awareness
  • Proficient in Microsoft Office and property management software such as Yardi and RentCafe
  • Previous sales experience is considered an asset
