Job Description

The administrative assistant role provides dedicated support as part of a larger team. This assistant will be an integrated team member to provide support to the overall operation.

This focused role includes, but is not limited to the following:

Responsibilities

The successful candidate will:

- Proactively service clients, advisors, and other partners outside the office by phone, email, or in-person.

- Prepare all documentation and provide any reports in preparation for client meetings

- Process all client transactions as requested and approved by advisor

- Monitor all pending paperwork, transfers, and any other follow up items that are outstanding

- Maintain client files and ensure documentation is in good order

- Gather and input data

- General administrative duties as assigned

- Book client meetings in the advisor’s calendar and follow up with clients

Knowledge, Skills, and Abilities

- Excellent command of the English language; both verbal and written

- Proficient with Microsoft Office Suite

- Excellent organizational skills, with a strong attention to detail

- Strong analytical and problem-solving skills

- Ability to prioritize and accurately execute high volume of time sensitive items

- Familiar with database data entry and maintenance

- Maintain a high degree of confidentiality

Desirable Attributes:

- Post-secondary degree/diploma in Business or Finance or related field.

- Licensed for Mutual Funds / Securities

- Minimum 2-3 years’ experience in the financial services industry.

Benefits:

Compensation:

- $40,000 - $60,000 depending on experience and qualifications.

Schedule:

Monday to Friday
