Full job description

Durham Kia is seeking an organized, detail-oriented Business Office Administrator to join our team in Oshawa. This role is central to our dealership's operations, ensuring vehicle sales are processed accurately, efficiently, and in full compliance with lender and regulatory requirements. The ideal candidate is comfortable managing paperwork under deadline pressure, communicating with financial institutions, and keeping multiple deals moving smoothly at once.

Key Responsibilities

  • Prepare, review, and process all paperwork related to vehicle sales, including bills of sale, contracts, title work, and deal jackets
  • Submit deals to lenders and banks for financing approval; follow up to ensure timely funding
  • Communicate regularly with lenders, credit unions, and other financial institutions to resolve stipulations, discrepancies, or missing documentation
  • Verify accuracy of contracts, pricing, rebates, and financing terms before submission
  • Track deal status from sale to funding, flagging and resolving any holds or delays
  • Coordinate with sales staff, finance managers, and the accounting department to keep deals on schedule
  • Ensure compliance with OMVIC regulations, lender guidelines, and dealership policies
  • Handle Service Ontario paperwork, plate transfers, payoffs, and lien releases as needed

Qualifications

  • Prior experience in a dealership business office, F&I department, or similar administrative/finance role preferred
  • Familiarity with and lender portals
  • Strong attention to detail and comfort working with numbers and legal documents
  • Excellent organizational and time-management skills
  • Clear, professional communication skills, both written and verbal
  • Ability to multitask and prioritize in a fast-paced environment
  • High school diploma required; additional education or certification in business/finance a plus
