Role Description

We are currently seeking a full-time Project Coordinator to join our team in Calgary.


The Project Coordinator will support the Project Management team throughout the full project lifecycle, from pre-construction and project start-up through execution and close-out. This role is responsible for coordinating project documentation, tracking schedules and budgets, supporting communication between internal teams, clients, consultants, subcontractors, and suppliers, and ensuring project information is organized and up to date in Procore.

Key Responsibilities:

  • Support Project Managers with day-to-day project coordination and administrative tasks.
  • Review construction drawings, specifications, subcontractor quotes, and scopes of work.
  • Track project progress, schedules, budgets, RFIs, shop drawings, change orders, deficiencies, and close-out items.
  • Create and issue purchase orders in Procore once approved.
  • Maintain accurate and up-to-date project documentation in Procore.
  • Contact vendors and suppliers to confirm quotes, lead times, material availability, pick-ups, and deliveries.
  • Assist with material ordering and verify take-offs before materials are ordered.
  • Attend site visits, project coordination meetings, OAC meetings, trade meetings, and pull-planning sessions.
  • Take meeting notes, record minutes, and prepare weekly construction reports and lookaheads.
  • Assist with permit coordination, start-up materials, close-out binders, deficiency tracking, and warranty-related work.
  • Support the Project Manager with documenting potential and approved change orders.
  • Maintain strong relationships with subcontractors, suppliers, clients, and internal teams.
  • Work closely with Accounts Payable to review and follow up on trade invoices.
  • Demonstrate strong customer service, accountability, confidentiality, and professionalism.

Qualifications

  • 2+ years of experience in project coordination, construction administration, or a similar role within the construction industry.
  • Experience in commercial, retail, restaurant, hospitality, or ICI construction is considered an asset.
  • Working knowledge of construction drawings, specifications, RFIs, shop drawings, purchase orders, change orders, and close-out documentation.
  • Experience using Procore or similar construction/project management software is considered an asset.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines.
  • Excellent written and verbal communication skills.
  • Strong attention to detail and accuracy in documentation.
  • Ability to work collaboratively with Project Managers, site teams, subcontractors, suppliers, and clients.
  • Proficiency with Microsoft Office, including Outlook, Word, and Excel.
  • A proactive, solutions-focused mindset with a willingness to learn and grow within the construction industry.
