Medical Office Assistant (MOA) – Primary care

Permanent Full-Time Position (up to 37.5 hours/week)

Location: Simcoe, Delhi, Port Rowan

About Us

The Norfolk Family Health Team (NFHT) is a community-based, not-for-profit organization committed to providing accessible, high-quality, and person-centered primary care to individuals and families in Norfolk County. Our services support individuals facing social, economic, and systemic barriers through interprofessional care teams and partnerships.

Our team includes family physicians, nurse practitioners, registered nurses, social workers, a registered dietitian, pharmacist, medical office assistants, a kinesiologist, and an occupational therapist. Additional services such as pharmacy, community lab, ultrasound, and various health and wellness programs are also offered onsite.

Role Overview:

As a key member of the administrative team, the Administrative Assistant supports the daily clinical and administrative operations of the Norfolk Family Health Team. This role works closely with clinicians, patients, and staff to ensure efficient front-line service delivery and high-quality patient care within a fast-paced primary care environment. The successful candidate will be responsible for reception duties, appointment scheduling, electronic medical record (EMR) support, and general office administration. This role requires a high level of professionalism, attention to detail, and the ability to manage multiple priorities while maintaining excellent customer service.

Key Responsibilities:

  • Assist providers during patient consultations, procedures, treatments, and follow-up care
  • Triage incoming calls for urgent appointments, referrals, diagnostic testing, and pre-certification requests
  • Operate and maintain basic medical equipment (e.g., autoclave, ultrasonic cleaner, blood pressure monitor, AC machine) as required
  • Manage front-desk operations including answering phones, booking appointments, sending referrals and faxes, and notifying patients of scheduled visits
  • Complete accurate data entry, including scanning, filing, and managing incoming faxes within the EMR system
  • Monitor, prioritize, and respond to physician and clinical messages in a timely manner
  • Track and manage appointment cancellations and rescheduling
  • Receive, record, and process patient payments, and follow up on outstanding balances as required
  • Maintain office supply inventory and restock clinical and administrative materials
  • Follow established opening and closing procedures to ensure smooth daily clinic operations

Position Requirements:

  • Medical Office Assistant Diploma or Office Administration Diploma
  • Current CPR certification for Health Care Providers
  • Commitment to best practices in patient-centered care
  • Experience working within an interdisciplinary team environment
  • Familiarity with rural medicine considered an asset
  • Strong knowledge of medical terminology
  • Proficiency with Practice Solutions EMR considered an asset
  • Exceptional attention to detail and strong documentation skills
  • Excellent time management and ability to prioritize competing tasks
  • Ability to work independently as well as collaboratively within a team
  • Ability to remain calm, accurate, and professional under pressure
  • Strong communication and customer service skills
  • Punctual, reliable, and maintains a consistently positive professional attitude
