Overview

Join our dynamic, Almaguin Highlands Family Health Team, as a Medical Receptionist, where your energetic and organized approach will be the first point of contact for patients and visitors. In this vital role, you will manage front desk operations, coordinate appointments, and ensure a smooth flow of communication within the medical office. Your enthusiasm and attention to detail will help create a welcoming environment while supporting the clinical team with administrative excellence. This paid position offers an exciting opportunity to develop your skills in a fast-paced, patient-centered setting.

Reception Duties

  • Greets all visitors and patients in a professional manner
  • Introduction of visitors and patients to the appropriate staff member
  • Answers all phone calls and directs calls or takes messages
  • Books appointments as required for patients and others

Clerical Duties

  • Performs clerical duties such as word processing, faxing, scanning and copying
  • Opens, sorts, scans and routes incoming mail, faxes and deliveries
  • Maintains inventory of office and medical supplies and initiates orders as needed
  • Maintains samples with numerous pharmaceutical companies
  • Maintains office equipment and arranges for servicing
  • EMR administration: new users and or modify users
  • Coordinate office & cleaning supply inventory and purchases within approved budget
  • Liaison with select vendors – such as cleaners, IT support, pharma reps, building maintenance,
  • Coordinate key distribution
  • Works closely with doctors and nurse practitioners (NPs) by managing patient schedules, processing specialist referrals, and organizing medical paperwork.
  • Oversees Clinic Waitlist

Qualifications

  • Previous experience as a receptionist or in a medical office setting is highly preferred
  • Strong knowledge of EMR software such as Accuro and Microsoft products
  • Familiarity with medical terminology to accurately understand and communicate patient information
  • Excellent organizational skills with the ability to multitask effectively in a busy environment
  • Proficiency in handling multi-line phone systems and managing front desk operations
  • Demonstrated office experience with a focus on customer service and administrative support
  • Ability to work collaboratively with clinical staff while maintaining professionalism and attention to detail
