Receptionist

Position Overview

The Receptionist serves as the first point of contact for patients, visitors, and staff. In this role, you will be essential in ensuring the smooth operation of our reception area. You will facilitate communication between patients and health care providers and assist with administrative tasks that support the clinic’s daily activities. Your professionalism, warmth, and attention to detail will help us deliver exceptional service and maintain the trust of our patients.

Key Responsibilities

· Front Desk Management: Welcome patients, visitors, and staff courteously and professionally as they arrive at the clinic. Address inquiries, provide information, and direct individuals to the appropriate locations within the facility.

· Appointment Scheduling: Schedule, confirm, and cancel appointments using our electronic medical records (EMR) system. Ensure accuracy in booking and assist patients in finding suitable appointment times based on provider availability.

· Patient Registration: Collect and verify patient information, including personal details, insurance, and contact data. Enter and update records in the EMR system, ensuring confidentiality and compliance with privacy laws.

· Phone and Email Communication: Answer incoming calls and emails, respond to inquiries, relay messages to medical staff, and assist patients with scheduling, billing, and general questions.

· Billing and Payment Processing: Assist patients with payment for services, verify insurance coverage, prepare invoices, and ensure accurate processing of transactions.

· Waiting Room Oversight: Monitor the waiting area to ensure comfort, cleanliness, and safety. Address patient concerns and coordinate with staff for smooth patient flow.

· Collaboration: Work closely with doctors, nurses, administrators, and other team members to support clinic operations, resolve issues, and ensure high standards of patient care.

· Confidentiality and Compliance: Uphold strict confidentiality regarding patient information and comply with all relevant health care regulations, including PIPEDA.

· Other Duties as Assigned: Take on additional administrative or clerical tasks as needed to support clinic needs.

Qualifications

· Education: High school diploma or equivalent required. Post-secondary education or certification in medical office administration, health care administration, or a related field is an asset.

· Experience: Prior experience as a receptionist, administrative assistant, or in a medical office setting strongly preferred. Familiarity with EMR systems and health care terminology is beneficial.

· Skills and Abilities:

· Exceptional communication skills, both verbal and written

· Strong organizational and time-management abilities

· Attention to detail and accuracy in data entry

· Ability to multitask and prioritize in a dynamic environment

· Professional, courteous, and empathetic

· Proficient in Microsoft Office Suite (Word, Excel, Outlook)

· Comfortable working with computer-based scheduling and recordkeeping systems

Other Requirements:

Demonstrated commitment to patient service and confidentiality

Ability to work independently and as part of a team

Flexibility in scheduling, including evenings or weekends as needed

Ability to remain calm and professional under pressure or in challenging situations

Strong problem-solving skills

Fluency in English; knowledge of additional languages is an asset
