Job Summary

Haven Medical Clinic is seeking a detail-oriented and compassionate Medical Office Assistant to join our healthcare team. The ideal candidate will provide exceptional administrative support in a busy medical office, ensuring smooth daily operations. This role involves managing patient interactions, maintaining electronic medical records (TELUS MED ACCESS), and supporting clinical staff to deliver high-quality patient care. The position offers an opportunity to work in a professional environment that values efficiency, accuracy, and excellent customer service.

Duties

  • Greet patients and visitors with professionalism and warmth at the front desk
  • Schedule appointments and manage patient flow efficiently
  • Answer multi-line phone systems and direct calls appropriately
  • Verify patient insurance information and update electronic medical records using Epic or Dentrix systems
  • Collect patient information, update medical histories, and ensure accurate documentation
  • Assist with check-in and check-out procedures, including payment processing
  • Maintain organized files and ensure confidentiality of sensitive information
  • Support clinical staff with administrative tasks as needed
  • Manage correspondence, emails, and other communication channels effectively
  • Ensure the reception area remains clean, organized, and welcoming

Experience

  • Prior experience as a Medical Office Assistant preferred
  • Proficiency with TELUS Med Access Electronic Medical Records (EMR) system is highly desirable
  • Strong knowledge of medical terminology and office procedures
  • Experience working in a healthcare environment, including front desk responsibilities in a medical office
  • Familiarity with multi-line phone systems and administrative office practices
  • Excellent organizational skills with attention to detail and accuracy
  • Ability to handle multiple tasks efficiently in a fast-paced setting
  • Previous office experience that demonstrates professionalism and excellent communication skills

Pay: $21.00-$26.00 per hour
