Overview

We are seeking a highly organized, proactive, and detail-oriented Office Manager to oversee the daily administrative and human resources operations of our growing organization. The ideal candidate will have experience in office administration, HR coordination, recruitment support, payroll administration, and regulatory compliance. This role requires excellent organizational, communication, and problem-solving skills, with the ability to manage multiple priorities while maintaining confidentiality and supporting a positive workplace culture.

Responsibilities

  • Oversee daily office administration and ensure efficient administrative operations.
  • Support recruitment activities, including job postings, resume screening, interview coordination, reference checks, and onboarding.
  • Administer employee lifecycle processes, including new hire documentation, personnel records, employment changes, leaves of absence, and offboarding.
  • Maintain accurate employee files, HR records, and confidential documentation in compliance with privacy legislation.
  • Assist with payroll administration, timecard verification, benefits administration, and employee data management using HRIS and payroll systems.
  • Coordinate employee orientation, training records, performance reviews, and employee engagement initiatives.
  • Support immigration and temporary foreign worker processes, including work permit tracking, LMIA documentation, and compliance requirements.
  • Ensure compliance with employment legislation, workplace policies, occupational health and safety regulations, and organizational procedures.
  • Assist with workplace health and safety programs, incident reporting, investigations, training coordination, and regulatory documentation.
  • Prepare reports, maintain HR metrics, and support audits, compliance tracking, and continuous process improvements.
  • Coordinate office scheduling, correspondence, meetings, document control, filing systems, office supplies, and general administrative activities.
  • Assist with grant applications, business documentation, expense tracking, and other administrative projects as assigned.
  • Provide professional administrative support to managers and maintain effective communication with employees, vendors, and external agencies.

Requirements

  • Bachelor's degree or diploma in Human Resources, Business Administration, Office Administration, or a related field.
  • Previous experience in office management, human resources, or administrative coordination.
  • Working knowledge of employment legislation, workplace health and safety requirements, privacy legislation, and HR best practices.
  • Experience with payroll administration, employee records management, and HR information systems such as ADP Workforce Now or similar platforms is an asset.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and general office software.
  • Strong organizational, time management, and multitasking skills with exceptional attention to detail.
  • Excellent verbal and written communication skills with strong interpersonal and customer service abilities.
  • Ability to handle confidential information with professionalism, discretion, and integrity.
  • Strong analytical and problem-solving skills with the ability to prioritize competing deadlines in a fast-paced environment.
  • Experience with immigration processes, LMIA administration, occupational health and safety, grant writing, or ERP systems is considered an asset.
  • Valid Class 5 Driver's Licence and legal eligibility to work in Canada.

Work schedule:

  • Full-time: Monday-Fridays
  • Mornings, Days, evenings shifts or weekend shifts based on operational requirements.
  • Shift times may vary depending on business requirements.

Pay: $70,000.00-$75,000.00 per year
