Office Manager

Express Employment Professionals are recruiting on behalf of a well-established public accounting firm for an experienced Office Manager. This is an excellent opportunity for a highly organized, proactive professional who thrives in a fast-paced environment and enjoys supporting both leadership and administrative teams.

As the Office Manager, you will oversee the day-to-day operations of the office, lead the administrative team, and ensure the firm continues to provide exceptional service to its clients. This role is ideal for someone with strong leadership skills, exceptional organizational abilities, and experience working in a professional office environment.

Location & Schedule

  • 100% on-site position
  • Monday to Friday
  • Pay: $35.00 per hour, depending on experience

Key Responsibilities

  • Manage the daily administrative operations of the office, ensuring everything runs efficiently and smoothly.
  • Oversee office supplies, equipment, maintenance, vendor relationships, and service providers.
  • Coordinate software updates and assist with general IT-related administrative needs by working with external vendors and internal contacts.
  • Supervise the reception and administrative support team, manage schedules and coverage, and help prioritize workloads to meet deadlines.
  • Coordinate the recruitment, onboarding, and orientation of new administrative employees, including workspace preparation and training support.
  • Prepare client documentation for corporate, personal tax, and trust files, including electronic filing with the Canada Revenue Agency (CRA).
  • Oversee the receipt, tracking, organization, and delivery of client documentation while supporting administrative workflows during peak periods, including tax season.
  • Process client payments, assist with accounts receivable follow-up, and maintain accurate client records and databases.
  • Develop, update, and maintain office procedures and administrative policies while identifying opportunities to improve efficiency and consistency.
  • Provide reception coverage when required during vacations, absences, or high-volume periods.
  • Support the Partners with administrative reporting and contribute to the overall success of the office.

Qualifications

  • Previous experience as an Office Manager, Administrative Manager, or in a similar leadership role, preferably within an accounting, legal, or other professional services environment.
  • Proven ability to lead, coach, and support an administrative team.
  • Exceptional organizational and time management skills with the ability to manage multiple priorities.
  • Strong communication and interpersonal skills with a professional and client-focused approach.
  • High level of accuracy and attention to detail when handling confidential information.
  • Proficiency with Microsoft Office and the ability to learn firm-specific software.
  • Experience working with CRA e-filings and tax-related administrative processes is considered a strong asset.
