Clinic Manager

About Us

Genius Medical is a rapidly expanding, modern Family Physician clinic located in the highly sought-after Pandosy area of Kelowna. Operating from a brand-new, 5,000 sq ft state-of-the-art facility, we are dedicated to providing exceptional patient care while fostering a collaborative, professional, and high-performing workplace.

As a dynamic and fast-growing medical organization, we are seeking an experienced, high-calibre Clinic Manager to lead the operational management of our clinic. This is a senior leadership role requiring someone who is confident making decisions, leading people, implementing systems, and maintaining operational excellence within a professional healthcare environment.

This is a career-defining opportunity for an individual who enjoys building efficient systems, leading teams, and taking ownership of a growing organization. You will work closely with ownership while having the autonomy to oversee the day-to-day operations of a large, modern medical facility and contribute to its continued growth and success.

We will provide comprehensive training on our clinic-specific workflows, internal systems, and healthcare processes. However, we are looking for someone who brings established leadership experience and can confidently step into an operational management role with minimal supervision.

Compensation & Growth

Starting Salary: $28.00–$30.00 per hour (depending on experience)

90-Day Performance Review: Opportunity to progress into our senior management pay bracket of up to $34.00 per hour based on demonstrated leadership, operational competence, and independent management of the role.

Performance Bonus: Eligible for a structured annual performance bonus linked to clearly defined operational and organizational milestones.

Key Responsibilities

As our Clinic Operations Manager, you will take ownership of the day-to-day management of clinic operations, including:

Operations Leadership

Lead the daily administrative operations of our 5,000 sq ft facility, ensuring efficient workflows, excellent patient service, and smooth day-to-day clinic performance.

Leadership & Team Management

Provide confident leadership to our Medical Office Assistant (MOA) team by setting clear expectations, managing schedules, mentoring staff, supporting professional development, addressing workplace issues appropriately, and fostering a positive, accountable, high-performing culture.

Recruitment & Onboarding

Assist with recruitment by screening applicants, participating in interviews, onboarding new employees, and supporting the continued growth of our team.

Policies & Operational Excellence

Work alongside ownership to develop, implement, and enforce clinic policies, operational procedures, quality improvement initiatives, and best practices.

Operational Decision-Making

Exercise sound judgement in daily operational matters, identify workflow inefficiencies, implement practical solutions, and escalate strategic decisions when appropriate.

Systems, Finance & Administration

Oversee administrative processes including inventory management, private billing, third-party insurance reconciliation, and become highly proficient with our Electronic Medical Records (EMR) system.

Wellness Division Oversight

Provide light operational oversight of our multidisciplinary wellness services to ensure seamless integration alongside our family practice.

Patient Experience

Support the delivery of an exceptional patient experience by professionally managing escalated patient concerns and maintaining a welcoming, efficient front-of-house environment.

QualificationsLeadership Experience (Required)

Previous experience leading, supervising, or managing a team is required. Experience within a medical clinic, healthcare organization, or other professional service environment is strongly preferred.

Operations Mindset

Demonstrated ability to organize teams, implement systems, improve workflows, solve operational challenges, and maintain high professional standards.

Professional Presence

Comfortable working alongside physicians, senior leadership, and administrative staff while maintaining professionalism, confidence, discretion, and appropriate professional boundaries.

Technology

Comfortable learning new software quickly. Experience with Electronic Medical Records (EMR), particularly TELUS CHR, is considered an asset but is not required.

Communication

Excellent interpersonal, organizational, and communication skills with the ability to confidently manage competing priorities in a fast-paced environment.

Accountability

A proactive leader who takes ownership, makes sound day-to-day operational decisions, follows through on commitments, and continually strives to improve clinic performance.
