Job Overview

The ideal candidate is professional, proactive, highly organized, and capable of managing multiple priorities in a fast-paced environment. This position requires exceptional attention to detail, strong communication skills, discretion with confidential information, and a commitment to providing support to the president and project managers.

Accounting responsibilities:

  • Process and maintain accounts payable transactions and vendor records using QuickBooks
  • Vendor account setup and maintenance vendor files
  • Complete credit card reconciliations, expense tracking, employee reimbursements
  • Bank reconciliations and month-end accounting activities
  • Support the preparation of financial reports and accounting schedules
  • Maintain accurate accounting records and filing systems
  • Coordinate information requests for external accountants and auditors
  • Perform data entry and maintain accuracy within accounting and operational systems
  • Calculate and prepare payroll on a bi-weekly basis; prepare and submit government remittances
  • Administer company employee benefits
  • Prepare and submit GST and PST monthly
  • Support continuous improvement of accounting processes and procedures

Administrative and Operations:

  • Support the President on various day to day activities; and other management as needed
  • Uphold a professional and welcoming office environment
  • Maintain detailed Project Master
  • Create new project files and ensure contracts are signed and all documents filed
  • Maintain organized electronic and paper filing systems including personnel files
  • Assist with onboarding activities and employee administration
  • Coordinate office supplies, equipment, and vendor services
  • Support office policies, procedures, and administrative systems
  • Other administrative duties as required

Qualifications & Experience

  • Minimum 3 years experience in accounting administration, bookkeeping support, office administration, or a similar role
  • Experience with accounts payable and receivables, and payroll processes
  • Proficiency with QuickBooks
  • Exceptional organizational and time management skills
  • Advanced proficiency with Microsoft Office, particularly Excel
  • Strong attention to detail and accuracy
  • Excellent written and verbal communication skills
  • Ability to prioritize multiple tasks and meet deadlines
  • Ability to work independently with minimal supervision
  • Professional and confidential handling of sensitive information
