Overview
We are a growing and client-focused medical spa seeking a highly organized and detail-oriented Bookkeeper / Office Manager to join our team. This position plays a key role in supporting both the financial health and daily operations of the clinic. The ideal candidate is professional, discreet, and comfortable working in a fast-paced environment where exceptional client service and operational excellence are priorities.

Bookkeeping & Financial Management

  • Manage accounts payable and accounts receivable, ensuring timely and accurate processing of transactions
  • Perform bank, credit card, and merchant account reconciliations
  • Maintain accurate financial records and general ledger accounts
  • Process payroll and support compliance with payroll regulations
  • Prepare monthly financial reports and assist with budgeting and cash flow management
  • Coordinate with external accountants and assist with year-end and audit preparations
  • Monitor clinic expenses and support inventory-related financial tracking
  • Review supplier invoices and ensure accurate coding and payment of clinic expenses

Office & Clinic Administration

  • Oversee day-to-day administrative operations of the medical spa
  • Manage vendor relationships and coordinate orders with suppliers
  • Purchase and maintain inventory levels of medical, retail, office, and treatment room supplies and consumables
  • Monitor inventory usage and proactively replenish stock to ensure uninterrupted clinic operations
  • Negotiate pricing and source cost-effective products and services when appropriate
  • Manage office supplies, equipment maintenance, and clinic inventory ordering
  • Support scheduling, correspondence, and administrative workflows
  • Maintain organized client, employee, and business records in accordance with company policies
  • Assist with implementing and improving office procedures and operational efficiencies
  • Support management with reporting, special projects, and business initiatives

Client Experience Support

  • Provide professional and courteous support to clients when needed
  • Assist front desk operations during peak periods
  • Help ensure a welcoming, organized, and efficient clinic environment

Qualifications

  • Minimum 2–3 years of bookkeeping experience
  • Experience with QuickBooks, Sage, Xero, or similar accounting software
  • Strong knowledge of accounts payable, accounts receivable, payroll processing, and bank reconciliations
  • Excellent attention to detail and accuracy
  • Strong organizational and time-management skills
  • Ability to handle confidential financial and client information with discretion
  • Proficiency in Microsoft Office, particularly Excel
  • Strong written and verbal communication skills
  • Previous experience in a medical spa, healthcare clinic, wellness practice, or professional services environment is considered an asset
  • Experience with practice management software such as Zenoti, Jane, or similar platforms is an asset
