About the Position

Our specialist medical clinic is seeking a reliable, organized, and detail-oriented part-time Medical Office Assistant to work closely with the physician in a fully remote work-from-home role.

This is a permanent employee position.

The position offers considerable scheduling flexibility. While some responsibilities must be completed during regular business hours, much of the administrative work can be completed at times that best fit your schedule. Workload varies depending on clinic volume, with some weeks requiring fewer hours and others requiring slightly more.

Although this is a remote position, applicants must reside in the Greater Vancouver area, as occasional in-person meetings (approximately 1–2 times per month) are required for training, workflow review, and quality improvement.

A clinic computer will be provided.

Responsibilities

Clinical Chart Preparation

Prepare physician charts before clinic by:

  • Reviewing referrals, consultation notes, laboratory results, imaging reports, and other medical documents
  • Identifying clinically relevant information
  • Organizing and transcribing information into physician templates
  • Ensuring charts are complete, accurate, and ready well before clinic

Chart preparation follows strict deadlines. Patient charts are generally expected to be completed at least two weeks before the scheduled clinic date, so applicants must demonstrate strong time management skills and avoid leaving work until the last minute.

Patient Intake

  • Contact patients by telephone when online intake forms have not been completed
  • Obtain required medical history and demographic information
  • Document information accurately
  • Answer basic administrative questions professionally

Patient phone calls are generally completed during normal business hours.

Schedule

  • Permanent part-time position
  • Approximately 15–20 hours per week (may vary depending on clinic workload)
  • Flexible scheduling
  • Administrative/chart preparation work may often be completed outside regular business hours
  • Patient telephone calls should generally be completed during business hours
  • Daily assigned work is expected to be completed on time

Qualifications

Required

  • Eligible to work in Canada
  • Fluent spoken English, Cantonese, and Mandarin
  • Excellent organizational and time management skills
  • Able to work independently with minimal supervision
  • Comfortable working closely with the physician in a collaborative environment
  • Strong computer skills and willingness to learn new technology, including AI-assisted workflows
  • Typing speed of 80+ WPM with excellent accuracy
  • Strong written English grammar and spelling
  • Ability to quickly read and summarize medical documents
  • Excellent attention to detail
  • Comfortable working with multiple computer applications simultaneously (EMR, PDF documents, AI tools, browser)
  • Private, quiet home workspace suitable for confidential healthcare work
  • Reliable high-speed internet connection
  • Must reside in the Greater Vancouver area

Assets

  • Previous Medical Office Assistant experience
  • Healthcare or medical office experience
  • Nursing, pharmacy, medical laboratory, or other healthcare background
  • Health sciences students or nursing students are encouraged to apply
  • Familiarity with Accuro EMR
  • Familiarity with Cortico
  • Familiarity with CareConnect
  • Experience reviewing medical records or medical documentation
