THE OPPORTUNITY

We are looking for Medical Office Assistant/Administrative Assistant to join our North Burnaby Physiotherapy and Wellness team in Burnaby, BC. Experience in healthcare clinic or medical office is required.

Reporting to the Director of the Clinic, this role is multi-faceted and performs duties and responsibilities related to scheduling/booking all appointments, invoicing/billing (patient, 3rd party vendors), customer service, marketing and other supportive administrative duties as assigned.

This position is an integral part to the Clinic that works together and/or independently to achieve effectively managed quality Physiotherapy operations.

We are a busy clinic, offering Physiotherapy, Acupuncture. This position is poised for individuals who are personable, possess accuracy, strong attention to details, ability to think critically and problem solving within time sensitive deadlines.

What you will be doing daily:

· Greet and check patients in and out for and after treatment

· Booking/Modifying Appointments

· Schedule Management, scheduling all staff: administrators, therapist so adequate coverage is always available including vacation coverage

· Assist with Operations management: Compliance: Covid 19, Occupational Health and Safety

· Answer incoming calls to include, new patient calls, scheduling patient appointments, requesting records and follow up

· Invoicing/Billing (Patients and Third Party companies)

· Communicating with insurance companies, keeping track of coverage limits

· Accurate Data Entry and Maintaining Files & maintaining patient records

· Processing Payments and Cashing out and Collection of outstanding accounts (A.R.).

· Statistical reports on billing software

· Assist in Hiring

· Prepare treatment rooms for therapist and keeping the Clinic well maintained (general tidying, laundry, assisting therapist with cleaning electrodes and putting away supplies)

Marketing

· Promoting the services of North Burnaby Physio (NBP) to the public, patients, and referral partners

· Managing on-point and well executed social media posts that build community and brand awareness

· Management of the NBP website

· Managing online and in-person reviews from patients (i.e. Google, Bing, feedback box, etc.).

· Analyzing customer data to improve customer experience

· Managing Client Experience management/complaints

Who you are:

· Medical Office Assistant Certificate or 1-2 years of post-secondary training or related field

· Minimum 1 to 2 years of general administrative experience in a medical office or clinic

· Proficient with Microsoft Office (Word and Excel)

· Ability to type 40 wpm

· Experience managing schedules and day to day clinic tasks efficiently.

· Strong Customer Service Skill and Organizational Skills

· Detail Oriented with strong problem-solving skills

· Experience with scheduling and billing software

· Previous sales experience or can learn how to increase bookings for the clinic is an asset

· Ability to speak conversational Cantonese is preferred
