About the job

ClinicLine

ClinicLine helps Canadian medical clinics find qualified, dedicated, and reliable remote medical administrative professionals, allowing clinics to save money while maintaining consistent, high-quality support.

Who This Role Is For

This role is strictly for experienced Canadian medical clinic leaders.

You must have:

  • Direct experience working in a Canadian family medicine clinic (not dental, not hospital-only)
  • Hands-on Medical Office Assistant (MOA) experience
  • Proven experience managing clinic staff and operations

If you do not meet all of the above, you will not be considered.

Role Overview

ClinicLine is hiring a part-time (0.5 FTE) Client Success Manager to manage and strengthen relationships with our clinic partners.

This role is designed specifically for a former or current Clinic Manager in Canadian primary care who deeply understands day-to-day clinic operations, administrative workflows, and staff management.

You will fully own clinic relationships from onboarding through long-term success, taking accountability for client satisfaction, retention, and performance outcomes. You will also play a key role in hiring, onboarding, and managing remote medical administrative staff.

Key Responsibilities

  • Fully own and manage relationships with assigned clinic clients
  • Lead clinic onboarding and ensure smooth implementation
  • Define workloads, KPIs, and performance expectations for remote staff
  • Act as a subject matter expert in Canadian primary care clinic operations
  • Optimize clinic administrative workflows (calls, fax, EMR, scheduling)
  • Lead recruiting and hiring for clinic placements
  • Run client meetings, performance reviews, and issue resolution
  • Provide oversight and guidance to remote medical administrative staff

Mandatory Experience

All of the following are required:

  • 2+ years as a Medical Office Assistant (MOA) in a Canadian family medicine clinic
  • 3+ years as a Clinic Manager (or equivalent leadership role) in Canadian primary care
  • Direct experience managing administrative staff and clinic operations
  • Hands-on experience with EMRs (Accuro, OSCAR, Telus PS Suite, etc.)

Applications without this experience will not be reviewed.

What We’re Really Looking For

  • Someone who has run a clinic, not just worked in one
  • Someone who understands real workload constraints, patient flow, and admin bottlenecks
  • Someone confident advising clinic owners and physicians
  • Someone who can translate clinic operations into scalable processes

Role Details

  • Full-time: 40 hours per week
  • Remote/ Hybrid role, GTA preferred
  • Flexible schedule required
  • Compensation: $30 to $34 per hour + bonus

Pay: $30.00-$34.00 per hour

Work Location: Remote
