POSITION OVERVIEW
We are seeking an experienced Patient Care Coordinator to provide comprehensive administrative support to our Dental Office. In this critical role, you will assist in managing daily operations, coordinating schedules, and facilitating communication to ensure the smooth and efficient functioning of the office.
KEY RESPONSIBILITIES
- Serve as the primary point of contact for daily practice operations, managing provider schedules, patient appointments, staffing needs, and internal and external communications with efficiency and professionalism.
- Oversee and coordinate daily office operations, ensuring effective workflow, appropriate staffing, facility needs, and seamless collaboration between providers, clinical teams, administrative staff, and external stakeholders.
- Develop and maintain efficient, well-organized schedules for all providers, strategically balancing simple and complex procedures, daily production goals, and provider availability to maximize practice capacity and maintain a stress-free workflow.
- Establish daily goals for each provider and proactively manage appointment flow, including filling open time slots, condensing schedules, adjusting appointment times, and minimizing the impact of cancellations and last-minute changes.
- Manage patient scheduling and communication by responding to incoming calls, addressing inquiries, coordinating appointments, initiating outbound calls, following up on outstanding treatment, and ensuring patients receive timely and professional service.
- Conduct regular pre-audits to verify the accuracy of patient information, appointment details, treatment requirements, and scheduling documentation, while maintaining organized records and compliance with applicable regulatory requirements.
- Communicate with insurance companies to obtain benefit breakdowns, confirm plan coverage, clarify patient eligibility, and support accurate treatment planning and financial discussions.
- Assist with financial and administrative activities, including invoicing, billing, expense tracking, correspondence, reports, presentations, and maintaining confidentiality and accuracy in all financial and business-related transactions.
- Conduct research, gather and organize information, prepare materials to support management decision-making and projects, and maintain efficient filing systems, databases, documentation, and administrative processes.
- Uphold an exceptional patient experience through outstanding customer service, professionalism, communication, and presentation, while proactively identifying operational opportunities that improve practice efficiency, patient satisfaction, and overall team performance.
QUALIFICATIONS
- Previous experience in a similar role in a dental setting.
- Strong organizational skills and attention to detail, with the ability to manage multiple tasks and priorities effectively.
- Excellent communication and interpersonal skills, with the ability to interact professionally with patients, staff, and external partners.
- Proficiency in Microsoft Office Suite and office management software, with the ability to learn new systems quickly.
- A proactive mindset, with the ability to anticipate needs, solve problems, and take initiative to drive projects forward.
- Discretion and professionalism in handling sensitive information and maintaining confidentiality.
