Full job description

Physician Coordinator – Backend Support.

Every great Coordinator needs a support team.

We’re looking for someone to join our team and help keep the operational side of physician onboarding running smoothly.

Think of the Physician Coordinator as the person out front working with physicians, leading meetings, and building relationships. You’re the person behind the scenes making sure the mission actually gets completed.

Organizational skills definitely required.

Your Mission

  • Prepare physician onboarding documents so the Coordinator goes into every meeting ready.
  • Review onboarding forms and identify anything that is missing or needs clarification.
  • Keep physician timelines organized and make sure important dates don't disappear into the Spirit World.

Master the Elements

There are a lot of moving pieces. You won't be expected to master all four elements on Day 1.

You'll be trained on our:

  • Physician onboarding process
  • Patient notification process
  • Record pickup procedures
  • Digitization workflow
  • Rosenbridge platform
  • Internal programs and systems
  • Physician closure and transition timelines

As you become more comfortable, you'll take ownership of more of the day-to-day operational responsibilities.

Who You'll Work With

You'll work closely with our Physician Coordinator, who will train you on the role, our systems, and how everything fits together.

The Physician Coordinator will focus primarily on physician relationships, onboarding meetings, outreach, and more complex situations.

Your job is to help make everything behind those conversations happen.

Eventually, the goal is that the Coordinator can hand you a physician file and know:

You've got this.

Your Power Level

We're looking for someone who is:

  • Extremely organized.
  • Detail-oriented.
  • Comfortable managing multiple projects and deadlines.
  • Good at scheduling and following timelines.
  • Comfortable communicating with clinics and physicians' offices.
  • Willing to research something before immediately asking someone else for the answer.
  • Comfortable learning new software.
  • Able to recognize when something doesn't look right.
  • Proactive about following up on missing information.
  • Able to work independently while still being part of a team.
  • Someone who actually enjoys checking things off a list.

Experience in healthcare, medical administration, logistics, project coordination, or medical records is an asset, but your ability to learn, stay organized, and take ownership is more important.

How We Measure Success

Success in this role isn't about having the highest power level.

It's about making sure the right thing happens at the right time.
When a physician comes onboard, you should eventually be able to answer four questions:
What needs to happen

When does it need to happen?

Who is responsible for it?

Has it been completed?

If you can keep all of that organized while helping the rest of the team maintain balance in the Four Nations, you'll fit in pretty well here.

Now we just need to find our next team member.

Pay: $20.00-$23.00 per hour

Expected hours: 40.0 per week

Application question(s):

  • Are you able to type a minimum of 60 WPM?
  • What are the shortcut keys for copying and pasting?
  • How long would your daily commute be to the Lower Mary Hill neighborhood in Port Coquitlam? (Meridian RV Centre as a landmark for reference)
  • Tell us about the system you use to stay organized when you have several tasks to complete.
