Full job description

Position Summary:

We are seeking a friendly, organized, and professional Medical Receptionist to join our healthcare team. The successful candidate will be the first point of contact for patients, providing exceptional customer service while ensuring the smooth day-to-day operation of the front desk and pre-test. The ideal candidate is detail-oriented, able to multitask in a fast-paced environment, and committed to maintaining patient confidentiality and delivering outstanding patient care.

Key ResponsibilitiesPatient Care & Reception

  • Welcome patients in a warm, professional, and courteous manner.
  • Answer incoming phone calls and respond to patient inquiries promptly.
  • Schedule, confirm, reschedule, and cancel appointments.
  • Check patients in and out efficiently.
  • Verify patient demographics and insurance information.
  • Maintain patient confidentiality in accordance with privacy regulations.
  • Perform pre-test in a timely manner

Administrative Duties

  • Manage appointment schedules to optimize clinic flow.
  • Process referrals, recalls, and appointment reminders.
  • Scan, file, and maintain electronic patient records.
  • Handle incoming and outgoing mail, faxes, and emails.
  • Process payments and issue receipts.
  • Balance daily transactions and assist with end-of-day reconciliation.
  • Maintain office supplies and notify management when inventory is low.

Clinical Support

  • Coordinate communication between patients, doctors, specialists, and other healthcare providers.
  • Prepare paperwork and documentation for patient visits.
  • Assist with obtaining previous medical records and referrals as required.
  • Ensure examination rooms and reception areas remain organized and presentable.
  • Maintain an effective and efficient pace at the pre-test.

Customer Service

  • Address patient concerns professionally and escalate issues when appropriate.
  • Provide clear instructions regarding appointments, clinic policies, and services.
  • Maintain a positive and compassionate attitude when interacting with patients.

Qualifications

  • High school diploma or equivalent required.
  • Previous experience in a medical, optometric, dental, or healthcare office preferred.
  • Proficiency with electronic medical records (EMR) and Microsoft Office.
  • Excellent verbal and written communication skills.
  • Strong organizational and time-management abilities.
  • Ability to multitask in a fast-paced environment.
  • Professional appearance and demeanor.
  • Knowledge of medical terminology is an asset.
