Full job description
Join our dynamic team at the University of Ottawa Medical Associates (UMA) in the position of Full-Time Administrative Medical Claims Coordinator. Reporting to the Business Manager, the Administrative Medical Billing Coordinator serves as the primary liaison between the billing team and the office administrator to ensure timely and accurate communication. The incumbent provides hands‑on support for the billing team, including workflow coordination and training of new hires, to ensure consistency, efficiency, and timely onboarding.

- Trains new employees and ensures medical billers remain current in EPIC workflows, policies, and best practices.
- Act as liaison between the billing team, Business Manager, and Office Administrator.
- Maintain physicians’ distribution lists and monitor workload allocation.
- Assist with EPIC billing work queues, including payment reconciliation and review of MOH RAI feedback.
- Track work queues, deadlines, turnaround times, and provide operational support or escalation as needed.
- Process EDT submissions in accordance with MOH requirements.
- Prepare billing worksheets for EPIC to import.
- Register and maintain physicians with third‑party insurers (e.g., Blue Cross, Cowan).
- Train and onboard new billing staff; provide ongoing coaching and first‑line EPIC workflow support.
- Develop and maintain billing training materials and workflow documentation.
- Distribute billing‑related communications and coordinate or attend team and EPIC update meetings.
- Identify and recommend billing and workflow process improvements.
- Verifies and submits medical billing on a part‑time basis, ensuring accuracy and completeness.
- Completes and submits out‑of‑province and uninsured billing forms, ensuring required documentation is included.
- Enters billing in the RSMO Portal.
- Regularly updates physicians on billing status and responds to inquiries in a timely manner.
- Processes and enters revenues from all sources (OHIP, RAMQ, TOH, OHRI, etc.) and runs monthly reports.
- Responds to communications (calls, messages, emails, etc.) promptly and professionally.
- 3+ years recent related experience in medical billing preferably in a hospital environment.
- Certificate in medical billing from a recognized educational institution is preferred.
- Knowledge of OHIP Schedule of Benefits, RAMQ, and Reciprocal, and Third Party billing.
- Knowledge of EPIC
- Intermediate knowledge of Microsoft 365 suite of products.
- Ability to handle sensitive and confidential information
- Excellent organizational, prioritization, and time-management skills required to coordinate multiple activities.
- Ability to work well under stress with minimal supervision.
- Proficiency in speaking and comprehending both English and French (Level B+) is an asset.
