Administrator, Training & Onboarding


Reporting to the Training and Development Manager, the Administrator, Training and Onboarding is the central point of contact for the Training department. This role will assume responsibility for training and training records compliance in line with client expectations. The Administrator, Training & Onboarding will also be responsible for planning and coordinating training, allocating training resources as required, assisting with the development of training programs as required, providing administrative support, and acting as a liaison between CATSA and the Aviation division.

Responsibilities

  • Collaborate with Scheduling Coordinators to schedule training sessions and activities using Paladin's Employee Resource Planning (ERP) software
  • Coordinate with Scheduling Coordinators to input training schedules into Paladin's ERP software.
  • Program Compliance Codes into the ERP for individuals completing training, ensuring accurate and up-to-date records.
  • Responsible for Administrative tracking of all Internal and External Training as well as database Management
  • Assign Compliance Codes to Employee Master Files in WinTEAM, specifying training duration and recertification requirements.
  • Collaborate with Paladin's Scheduling Division to plan future RLP and One-Hour Non-Screening Time for Screening Personnel.
  • Work with Operations to release Screening Personnel at optimal times for training during low passenger volume periods.
  • Work closely with Paladin's Trainers and Screening Contractor Training Representatives (SCTR) to oversee training sessions.
  • Program training and certification durations in WinTEAM to determine when recertification is required according
  • to the Recurrent Learning Program. Receive, track, and create Performance Events Report (PER) files; Tracking and verifying all hours related to the PER; Send the PERs for closure
  • Schedule and coordinate all CATSA/PASS Training for the Pacific Region (including travel, hotel and Per Diem requests)
  • Grade all training activities for YVR and maintain data integrity in LMS including RAIC expiry, CATSA medicals, Creating new LMS profiles
  • Track all leaves over 30 days for Screening Officers and send activation and inactivation requests to CATSA, coordinate with internal departments to facilitate the return of Screening Officers from leave
  • Develop new tracking programs/processes as required for all training initiatives
  • Collect data and create graphs and/or pivot tables to provide meaningful reports to the Training and Performance Manager
  • Track and monitor all training including but not limited to SOF, CATSA+, and PERs to ensure timely completion within the given timeline, and send extension requests to the Manager as required
  • Maintaining all Payroll, Health and Safety, On-boarding and Capacity processes
  • Ad hoc duties or projects as assigned by the Training & Development Manager

Requirements

  • Post secondary education in Adult Learning, Communications, Business Management, Human Resources or related field
  • Minimum of 1-2 years of administration experience, training and development would be an asset.
  • Proficiency in Microsoft Office
  • Excellent written, verbal and communication skills
  • Demonstrated experience in adult learning and training delivery
  • Ability to work with others in a team environment and independently
  • Strong attention to detail and quality with the ability to meet competing deadlines
  • Flexible to work within a 24/7 operation in which schedules could change as per training requirements and operation
  • Ability to acquire Transportation Security Clearance (TSC)
  • Fluency in French would be considered an asset
  • Aviation-related experience including working with various stakeholders within the aviation industry
  • Experience with Online Learning Management Systems (LMS)

Salary: $55,000


This position is fully based at Vancouver International Airport (YVR).
