Job Summary

Mill View Integrated Health is a growing multidisciplinary health clinic in the heart of Manotick, offering chiropractic care, physiotherapy, massage therapy, acupuncture, and psychotherapy. We are looking for a friendly, organized, and dependable Administrative Assistant who is passionate about providing exceptional customer service and helping create a welcoming experience for every patient who walks through our doors.

Duties

  • Welcome patients and create a warm, professional first impression
  • Handle customer inquiries via phone, email, and in person, providing excellent customer support and phone etiquette
  • Schedule and manage appointments using our online booking software
  • Process payments and issue receipts
  • Assist with insurance submissions and patient paperwork
  • Keep reception and waiting areas clean, organized, and inviting
  • Support practitioners with administrative tasks
  • Complete daily opening and closing procedures
  • Laundry, stocking treatment rooms, and clinic housekeeping
  • Help with occasional social media posts and clinic promotions
  • Support with administrative tasks such as scanning, faxing, and mailing documents
  • Assist with other administrative tasks as needed

Requirements

  • Excellent organizational skills with the ability to multitask effectively
  • Exceptional communication skills, including phone etiquette and customer service experience
  • Previous experience in administration, reception, or a medical office is considered an asset
  • Experience with Jane App is an asset but not required
  • Comfortable learning new technology
  • High school diploma required; post-secondary education is an asset

Position Details

  • Part-time permanent
  • Approximately 20 hours/week
  • Hours may be scheduled between 8am-7pm
  • State date: end of August/early September
