Full job description
Summary:
The Manager of Physician Services is responsible for planning, organizing, and leading the clinical and administrative support staff. This role coordinates human and physical resources to provide comprehensive support for Geographical Full-Time (GFT) surgeons and ensure efficient departmental operations. Success in this position requires strong leadership, communication, and organizational skills to manage performance, resolve conflicts, support staff development, and foster a positive, professional work environment.
Key Duties and Responsibilities
- Ensure adequate clinical and administrative support staffing is in place to meet operational requirements
- Develop, implement, and monitor cross-training and coverage plans to manage absences effectively.
- Collaborate with HR to track and accurately document employee records—including step increases, overtime, leave, vacation, absenteeism and performance reviews.
- Support recruitment, onboarding, orientation, and ongoing training initiatives for support staff.
- Conduct regular check-ins and annual performance appraisals, manage performance concerns, and apply disciplinary actions when necessary.
- In consultation with HR regarding succession planning and talent retention efforts.
- Focus and monitor workloads, assignments, and ensure alignment of staff work with departmental and organizational quality standards.
- Provide daily operational support to staff by resolving issues and removing obstacles. Lead conflict resolution processes, fostering a positive, inclusive, respectful, and high-engagement workplace culture.
- Identify training and development needs, facilitate individual development plans
- Ensure departmental adherence to HR policies, employment legislation, and respectful workplace standards.
- Maintain strict confidentiality of personnel and sensitive information in accordance with privacy laws.
- Demonstrate flexibility by reprioritizing tasks in response to shifting goals and constraints while leading teams with strong organizational and communication skills.
- Meet regularly with surgeons to discuss their practice workflows, assess current support, and identify opportunities to better address their needs, ensuring efficient workflow and high-quality patient care.
- Conduct regular meetings with section heads to review the support provided, identify additional resource needs, discuss upcoming changes, address operational challenges, and develop plans to better meet the section’s objectives.
Education
- Post-secondary degree in a relevant health discipline from an accredited education institution
- A relevant graduate degree is an asset.
Experience
- 3-5 years of progressive management experience leading a broad spectrum of patient services in a publicly funded health services delivery organization, including:
- 3 years of direct clinical services delivery across one or more assigned clinical areas of health care
- Knowledge of HR policies, employment legislation, and clinical standards to ensure departmental compliance.
An acceptable equivalent combination of education and experience may be considered.
Skills and Abilities
- Strong analytical skills to assess issues quickly and implement practical solutions.
- Demonstrate empathy, self-awareness, and the ability to manage interpersonal dynamics sensitively.
- Effectively convey information, expectations, and guidance both orally and in writing.
- Demonstrated strong organizational, interpersonal, communications and leadership skills
- Strong ability to build professional relationships with surgeons, section heads, staff, and HR.
- Uphold ethical standards and protect sensitive information.
- Commitment to supporting both internal teams and external stakeholders with professionalism and responsiveness.
- Efficiently prioritize and manage multiple competing tasks and deadlines.
- Maintain composure and effectiveness under pressure or during challenging situations.
Working Conditions
- Based in a hospital/clinical office environment.
- Regular hours with occasional need for flexibility (early morning, evening, or weekend meetings).
- Occasional travel between sites may be required.
