Qualifications
MINIMAL FORMAL EDUCATION REQUIRED:
- Completion of a formal training program in a related discipline from a recognized institute is required.
- Undergraduate degree in a relevant discipline or with an emphasis on business practices and/or education is preferred.
EXPERIENCE:
- Four years of directly related experience is required, preferably in an academic or a healthcare setting.
- Demonstrated experience in providing administrative support to a multi-dimensional, fast-paced unit is an asset.
- Experience working with University enterprise systems are required. (Entrada, Epic, Concur, VIP)
- Experience in Microsoft 365 including Office, Excel, and CoPilot is required.
- Experience in a University setting preferred.
- Experience in a mental health environment is preferred.
- An acceptable equivalent combination of education and experience may be considered.
- Intermediate knowledge of computer software applications, including Microsoft Office 365 and Zoom is required.
- Must be able to interact with people from diverse backgrounds in a calm, courteous, and effective manner is required.
- Must be able to exercise tact, discretion and have the ability to navigate situations of conflict is required.

Key responsibilities
- Provide administrative services to the Department’s Director of Undergraduate Education including preparing a variety of general and confidential correspondences.
- Maintain filing system and schedules Undergraduate Education Committee meetings, as well as prepares and distributes minutes.
- Provide administrative services for the Undergraduate Education Program. Acts as a primary contact for all medical students rotating through the Department. Answers questions, relays information and provides assistance to all medical students rotating through the Department and instructors.
- Generate the master rotation schedules and assignments of all medical students rotating through the Department.
- Coordinate all Med I through to Med IV teaching schedules; including recruitment of instructors for lectures, tutorials, and clinical teaching as well as distribution of all schedules. Reserves lecture and mirror rooms, assigns students to appropriate teaching hospitals, arranges Teams/Zoom meetings, arranges videotapes from Instructional Media, coordinates with senior resident the required number of patients needed for teaching, prepare and distribute attendance sheets and maintains database of returned and signed attendance sheets for all faculty members, compile data and prepare report for reimbursement of teaching hours.
- Independently handle the complex task of scheduling and making rotation changes from Med I to IV. Coordinates Med I and II schedules which includes room bookings, equipment, coordinating with senior residents for patient availability for medical students to interview, obtaining preceptor.
- Coordinate clerk rotations at three core psychiatry sites, and sites for elective rotations which includes schedules of lectures OPD and ECT exposures, room bookings, equipment, and preceptors.
- Draft, develop, and maintain systems for streamlining processes for all medical students. This includes directing and advising students on appropriate systems such as requests for a vacation request for call schedule, rotation change, policy change, guidelines, etc. Resolves new and unusual issues as needed.
- Review and edit assessments in conjunction with their respective preceptors. Tracks to make sure assessments are completed on a timely basis and sends out reminders on a biweekly basis. Updates Entrada including Goals and Objectives and related documentation. Is the first point of contact for the program/questions/concerns.
- Responsible for the organization of regularly scheduled UGE Program Committee meetings including agenda, communication to committee, taking and transcribing minutes, following up on action items with the Program Director, and provides input into related areas as needed.
- Participate in the development and implementation of new systems to ensure quality control within the program. Works in conjunction with UGME office on implementing change.
- Maintain close liaison with the Faculty of Medicine UGME office.
- Upload all instructor names, teaching rooms, lecture material, to Entrada for Med I to IV students.
- Coordinate and prepares for distribution evaluations for Med III/IV students.
- Act as primary resource to medical students rotating through Psychiatry and Psychiatry faculty for all Entrada issues/ concerns/ questions.
- Coordinate all placements of U of M elective students and visiting elective students to the Department of Psychiatry, including entering placements into Entrada all placements and sending of evaluations.
- Provide administrative support to the Director, Emergency Psychiatric Services.
- Responsible for creating and maintaining the HSC Psychiatry Adult, CRC, PVCS, and Safe ED call schedules. This includes the creation from start to finish of entire master schedule. Assignment of physicians to call shifts with a high degree of accuracy to fairly distribute call assignments, both daytime and evening and weekend call duty. Maintains all vacation/absences from call, notifying appropriate individuals regarding call changes.
- Compile and distribute monthly the all-sites (HSC Adult, HSC Child, CRC, SBH, VGH) night call schedule and HSC Adult/CRC day call schedule which includes all psychiatrists/residents/clerks/IMGs/PAs. Maintain all call changes for all-sites and distribute updated schedules noting all call changes.
- Compile schedule for ER residents rotating through the Psychiatry Emergency room. Notify appropriate residents/psychiatrists and update and distribute call schedule.
- Enter monthly data into HSC WebXchange system all residents and staff psychiatrist on-call for adult psychiatry. Prepare and distribute call change memos and make appropriate changes to WebXchange.
- Enter monthly data into DOCCS system for all staff psychiatrists and make appropriate changes to DOCCS.
- Coordinate all necessary forms and supplies needed for the psychiatry on-call workroom.
- Responsible for the ongoing upkeep of Adult ER workroom.
Academic Affairs:
- Provide administrative support to the Director, Academic Affairs, Chair of Promotions Committee, and Chairs of the Department of Psychiatry Academic Projects (DPAP) Grants.
- Coordinate workshops and meetings including organizing of Medical Advisory Group meetings (preparing the agenda, taking minutes, and provides input into related as needed).
- Prepare correspondences, compose and send written communications on own initiative as well as per Director's direction.
- Maintain appropriate filing system and tracking of portfolio's cyclical responsibilities.
- Responsible for ensuring all Mental Health Act forms are distributed to appropriate individuals/organizations within the legal timeframe.
- Liaison on regular basis with the Mental Health Act Review Board, Public Trustee and the Chief Provincial Psychiatrist.
- Obtain Medical Director's signature, coordinate filling in missing information on forms, and distributes all forms related to the Mental Health Act.
- On-site administration in coordination with the Mental Health Review Board including booking rooms for Review Board hearings and acquiring necessary signatures from physicians and patient on affidavits which requires attending on mental health units when appropriate.
- Copy and provide necessary forms and paperwork for Review Board before hearing date.
- Provide administrative support to the Director and Associate Director of Continuing Professional Development.
- Coordinate Grand Rounds, Visiting Professors, and workshops including:
- Maintaining and disseminating the Grand Rounds schedule
- Obtaining initial and ongoing approval for RCPSC Maintenance of certification
- Preparing rounds notices including posters for workshops.
- Received presentations from presenters to distribute to the audience.
- Monitoring and track attendance in a database.
- Distributing and reviewing post session evaluations.
- Preparing and sending post session evaluations to presenters.
- Booking rooms for in-person and hybrid presentations.
- Setting up equipment for in person sessions.
- Booking U of M Audio-Visual services and setting up additional Zoom links when necessary.
- Ordering catering/food services when appropriate.
- Maintain e-mail distribution lists.
- Arrange travel and reservations for Visiting Professors including liaising with guests and departmental financial personnel, assuring travel arrangements are completed appropriately in accordance to the WRHA Travel Policy. Make appropriate hotel arrangements on behalf of the Visiting Professor. Submit approved budget required to for WRHA Pre-Approval. Follow up with the visiting professor in a timely manner to assure all original receipts have been sent in for submission to finance for reimbursement. Liaises with department financial personnel regarding reimbursement of expenses for Visiting Professors.
- Prepare annual Royal College of Physician and Surgeons of Canada Maintenance of Certification Certificates for all teaching events attended by physicians, PA's, CA's, nurses needed certification hours.
- First point of contact for all correspondence and enquiries related to the CPD practices and procedures for faculty, staff, and residents.
- Coordinate special events such as the Sisler Institute and other special workshops
Other:
- Provide administrative support for any medical/legal/chart needing appropriate signature from physician for release of chart, including tracking and maintaining a logbook of requests.
- Other special administrative projects for the Department on own initiative or in consultation with others (i.e., faculty evaluations, improvements to program delivery, etc.)
- Provide orientation and training to new support staff.
- Handles enquiries related to departmental education, and refers any matters as deemed appropriate to department members.
- Provide coverage as needed for other Program Administrators.
- Perform other related duties and functions related to Departmental activities as required.
