About Us


The Department of Family Medicine specializes in training comprehensive family physicians and future leaders in family medicine. This is done through a highly adaptable program that includes tailor-made curriculum and educational programs for residents.

The Family Medicine Postgraduate Program is one of the largest programs at the Schulich School of Medicine & Dentistry, consisting of over 180 residents conducting their core residency training at 13 different sites across southwestern Ontario and 22-24 Residents training in 9 Enhanced Skills Program. This is supported by over 800 full and part-time faculty and an administrative staff of 6 individuals.

Responsibilities


The Program Coordinator supports the effective and efficient coordination of projects, accreditation activities, communications, and learner engagement initiatives within the Department of Family Medicine’s Postgraduate Medical Education programs. The role provides coordination, administrative, documentation, and implementation support to assist with accreditation readiness, post-accreditation follow-up, continuous quality improvement activities, and program communications. The Program Coordinator acts as a resource to PGME leadership, managers, program teams, faculty, learners, institutional partners, and external vendors by coordinating information, tracking timelines and deliverables, maintaining documentation and digital content, and supporting consistent communication practices. The role contributes to the Department’s ability to meet accreditation requirements, enhance program visibility, support learner recruitment initiatives, and maintain effective administrative processes across Core Family Medicine and Enhanced Skills programs.

Qualifications


Education:

  • 3-year Community College Diploma in Business Administration, Communications, Project Management, Event Management, or a related field

Experience:

  • 4 years experience in the following:
    • coordinating logistics of specialized projects, committees, and events in an academic environment
    • maintaining records, tracking deliverables, and coordinating documentation processes
    • maintaining websites and updating digital content using a content management system
    • supporting communications activities including website content, newsletters, social media, or promotional materials
  • Experience supporting accreditation, quality assurance, compliance, or program review processes preferred

Knowledge, Skills & Abilities:

  • Verbal communication skills to clearly express ideas in an objective manner, and adapt communication style to suit the situation and audience
  • Demonstrated ability take initiative, to work independently and follow through on work assignments
  • Ability to apply active listening to hear and understand the complete message being communicated
  • Competency to maintain confidentiality and treat sensitive information with discretion
  • Ability to establish rapport with people from diverse backgrounds
  • Demonstrated ability to understand and resolve external and internal partner issues
  • Ability to maintain a positive, outgoing attitude with genuine customer service orientation
  • Ability to process information with a high degree of accuracy, and follow formal business practices with high attention to detail

  • Intermediate proficiency required in Microsoft Office in order to prepare emails, correspondence, and to input data into spreadsheets and databases, in content management systems (such as Cascade) in order to update websites, and using social media platforms
  • Familiarity with Western policies and guidelines preferred
