Hooey & Company Lawyers is seeking a full-time friendly, professional, and organized receptionist to join our Calgary office.

As the first point of contact for our clients, visitors, and callers, our receptionist plays an important role in creating a welcoming, professional, and positive experience. We are looking for someone who takes pride in providing excellent client service and helping keep a busy law office running smoothly.

We welcome candidates with all levels of experience. Previous legal experience is an asset but is not required for the right candidate.

Key Responsibilities

  • Greet clients and visitors in a warm, professional, and courteous manner.
  • Answer, screen, and direct incoming telephone calls.
  • Take and relay messages accurately and promptly.
  • Schedule and coordinate appointments and meetings.
  • Maintain a clean, organized, and welcoming reception area.
  • Receive, sort, distribute, and prepare incoming and outgoing mail and courier deliveries.
  • Respond to general inquiries by telephone, email, and in person.
  • Assist with opening, maintaining, and organizing client files.
  • Perform general administrative duties, including filing, scanning, photocopying, printing, and data entry.
  • Prepare and format correspondence and documents as required.
  • Process and receipt credit card and cheque payments.
  • Manage calendars and assist with meeting-room scheduling.
  • Monitor and order office and reception supplies.
  • Assist lawyers, paralegals, and other staff with day-to-day administrative needs.
  • Maintain strict confidentiality when handling client information and legal matters.
  • Assist with general office organization and other duties as required.
  • Provide exceptional client service while contributing to a positive and professional workplace.

Qualifications & Skills

  • Previous reception, administrative, legal, or customer-service experience is an asset.
  • Excellent communication and interpersonal skills.
  • Friendly, professional, and approachable demeanor.
  • Strong organizational skills and attention to detail.
  • Ability to prioritize and manage multiple tasks in a busy office environment.
  • Comfortable answering phones and interacting with clients from a variety of backgrounds.
  • Strong computer skills and familiarity with Microsoft Office.
  • Professional appearance and a positive attitude.
  • Ability to work independently while being a supportive member of a team.
  • Excellent judgment and a high level of discretion.
  • Commitment to maintaining client confidentiality.
  • Legal office experience is an asset, but training will be provided to the successful candidate.
