Full job description

Northern Security is looking for a sharp, organized and persistent Accounts Receivable Clerk to join our Sudbury team.

We’re looking for someone who likes keeping things moving.

You’ll be responsible for making sure completed work gets invoiced accurately and quickly, payments are posted properly, customers get answers when they have billing questions, and overdue accounts are actively followed until they are resolved.

What You’ll Be Responsible For

Your primary responsibility will be invoicing and accounts receivable management, including:

· Reviewing completed work orders and preparing accurate customer invoices in specialized service software

· Verifying technician time, labour charges, materials, paperwork, photos, dates and work-order notes before invoicing

· Ensuring invoices are sent promptly once work is ready to bill

· Monitoring outstanding accounts utilizing Quickbooks Desktop and internal Excel forms, and actively following up on overdue balances

· Calling and emailing customers as part of the collection process

· Responding to customer billing questions by phone and email

· Taking and posting customer payments

· Verifying and posting EFT payments

· Processing cheque payments and bank deposits

· Assisting with monthly recurring alarm billing

· Completing vendor EFT documentation

· Monitoring and responding to the Accounts Receivable email inbox

· Maintaining accurate customer account information

· Assisting other administrative and customer-service functions when required

The Person We’re Looking For

You’ll probably do well here if you are:

· Extremely organized

· Comfortable calling customers

· Detail-oriented

· Good at following processes

· Able to communicate professionally with customers

· Comfortable using Excel spreadsheets and learning new software

Experience in accounts receivable, invoicing, bookkeeping, collections or service administration would be an asset.

Hours & Location

· Permanent, full-time

· Monday to Friday

· 8:00 a.m. to 5:00 p.m.

· Approximately 42.5 hours per week

· Based primarily at our 41 Lorne Street office in Sudbury
