Overview
We are seeking a highly organized and proactive Executive Assistant to support our partner lawyers. This vital role offers an exciting opportunity to be at the heart of a dynamic legal team, providing comprehensive administrative support to ensure smooth daily operations. The ideal candidate will thrive in a fast-paced environment, demonstrating exceptional organizational skills, professionalism, and a passion for assisting legal professionals.

Key Responsibilities

  • Provide comprehensive support to manage lawyers’ engagements, calendars, and manage files
  • First point of contact for clients, opposing counsel, and court officials.
  • Prioritize and manage multiple tasks and deadlines
  • Overseeing all incoming and outgoing communications, including emails, phone calls, reports, and internal correspondence
  • Assist in tracking billable hours, managing client invoicing and various administrative tasks
  • Perform clerical duties such as maintain and organize physical and digital filing system, data entry, proofreading legal documents and transcription to support the legal team efficiently.

Qualifications & Skills

  • Experience: 3–5+ years of experience as an Executive Assistant, preferably within a law firm or professional services environment.
  • Technical Proficiency: Mastery of Microsoft Office 365 (Word, Excel, Outlook). Familiarity with legal practice management software is a major plus.
  • Skills: Excellent organizational skills with the ability to prioritize tasks effectively and meticulous attention to detail.
  • Communication: Exceptional written and verbal communication skills with professional phone etiquette and client service orientation.
  • Discretion: Proven ability to handle confidential information with absolute integrity.
  • Adaptability: Ability to pivot quickly when court dates shift or emergencies arise.
