Full job description

What You’ll Do:

We are looking for a personable, positive, motivated, and highly organized person to join our team as a full-time Legal Assistant. The successful candidate will play a key role in ensuring seamless administrative and legal support. This includes answering telephone calls, managing client communications, preparing legal documents, coordinating schedules, and maintaining accurate records to assist our legal team in delivering top-tier client service.

Key Responsibilities:

Client & File Management: Serve as the first point of contact for clients, answering the phone, managing inquiries, scheduling appointments, and ensuring timely follow-ups.

Legal Document Preparation & Filing: Draft, proofread, and format legal documents such as transfer documents, wills, powers of attorneys, health care directives, and court applications relating to estates. The applicant will also prepare land titles submissions, reporting packages to clients, and other important correspondence.

Records & Compliance Management: Maintain accurate trust and general accounting records, track deadlines, and ensure all documents are prepared and finalized correctly and in compliance with legal requirements.

Office & Accounting Support: Assist with invoicing and accounts receivable management.

What You Need:

● Current or past experience working in a legal assistant (or equivalent) role or legal assistant certification

● Strong knowledge of legal terminology, processes, and document formatting

● Advanced computer and typing skills

● Experience with Adobe Acrobat and Microsoft Office (primarily Outlook, Word, and Excel)

● High organizational capabilities with keen attention to detail and excellent grammar and proofreading skills

● Knowledge of document and record keeping procedures, and the ability to deal with confidential and sensitive information

● Highly emotionally intelligent, with a high degree of honesty, integrity, and care

Bonus Points If You Have:

➕ Experience with Clio, PC Law, Soluno, or other trust accounting software

➕ Experience with Land Titles Registry

➕ Experience in environments that require strong social awareness and empathy
