At Chateau Nova Yellowknife, our events are more than room bookings. They are meetings, celebrations, receptions, conferences, and special moments that need someone organized, warm, and detail-focused behind the scenes.
We are looking for a full-time Catering Coordinator to join our team. This is a great opportunity for someone who enjoys working with people, keeping details on track, and helping bring events to life.
About the Role
As our Catering Coordinator, you will be the key point of contact for catering and event inquiries. You will support clients from the first conversation through to event day, helping coordinate group meetings, banquets, receptions, and hotel functions.
You will use proactive selling, follow-up, planning, and strong communication to help maximize our banquet spaces while ensuring clients and internal teams have the information they need. From menu selections to banquet event orders, room set-ups, site tours, and event details, you will help make sure nothing falls through the cracks.
This role is ideal for someone who is organized, customer-focused, confident speaking with clients, and calm under pressure. You are someone who enjoys making people feel welcome, works well with different teams, and takes pride in finding practical solutions when plans change.
What You’ll Do
- Respond to catering and event inquiries by phone, email, fax, and walk-in guests
- Follow up with existing and prospective clients to help grow catering and banquet revenue
- Coordinate details for meetings, banquets, receptions, and special events
- Work with clients on event planning, menus, room set-up, audio-visual needs, and special requests
- Prepare and distribute Banquet Event Orders to the appropriate departments
- Work closely with the Sales, Kitchen, Banquet, Food & Beverage, Front Desk, Maintenance, and Management teams
- Conduct site inspections and tours for prospective clients
- Check event rooms before functions to ensure standards are met
- Meet with clients before events to review final arrangements
- Support event execution and assist with set-up or service when needed
- Report weekly catering and sales activities to the General Manager, Food & Beverage Manager, and relevant departments
- Inspect meeting rooms and report any maintenance or repair needs
- Attend event review or post-convention meetings as needed
- Assist with daily event review meetings with Kitchen and Banquet teams
- Help plan and create menus for special events
- Support service quality and delivery of catering functions
- Complete other related duties as assigned
What We’re Looking For
- 1–3 years of experience in catering, events, sales, hospitality, or customer service
- Strong communication and client service skills
- A naturally warm and helpful approach with guests, clients, and team members
- Ability to stay organized while managing multiple details and deadlines
- Confidence working independently with limited supervision
- A practical, solutions-focused mindset when priorities shift
- Comfortable using Microsoft Office and hotel, catering, or sales systems
- Experience with Micros or related catering/sales programs is considered an asset
- A positive, professional attitude and willingness to jump in where needed
