A mid-sized law firm primarily focused in Litigation. We provide high-level legal services in a collaborative, dynamic environment. We are seeking a detail-oriented and proactive Immigration Legal Assistant to join our team. In this role, you will support our lawyers and clients throughout the full lifecycle of immigration matters, ensuring files are well-organized, deadlines are met, and applications are prepared with accuracy and care.

Key responsibilities include but are not limited to:

  • Prepares, reviews, and assembles a wide range of immigration applications and supporting documentation for submission to relevant government authorities.
  • Completes immigration forms accurately and maintains organized electronic and physical client files in accordance with firm procedures.
  • Provides responsive and professional client service, acting as a primary point of contact for clients and supporting communication between clients, lawyers, and government agencies.
  • Monitors, tracks, and diarizes important deadlines to ensure timely submission of applications and compliance with immigration requirements.
  • Drafts immigration-related documents under lawyer supervision, including cover letters, retainer agreements, employer support letters, temporary resident and permanent resident applications.
  • Assists clients with the creation and management of online immigration portals and provides ongoing guidance regarding document uploads and application processes.
  • Manages immigration application portals, including uploading documents, submitting applications, tracking correspondence, and maintaining accurate records.
  • Prepares document checklists, collects supporting documentation, and follows up with clients to obtain outstanding information and ensure file completeness.
  • Maintains regular communication with clients regarding application status, processing updates, and requests from immigration authorities.
  • Ensures accurate file management by organizing, labeling, and reviewing documents for completeness and compliance with regulatory requirements.
  • Coordinates certified translations and verifies that translated documents meet immigration and legal submission standards.

In addition, you will provide legal assistance to one or more lawyers as needed.

Qualifications:

  • Graduate of a Legal Administrative Assistant program is preferred; however, equivalent years of relevant experience will also be considered.
  • Previous experience working as a legal assistant or in a similar role, particularly within the Immigration practice area, would be considered an asset.
  • Strong understanding of Canadian immigration processes, documentation requirements, and relevant government portals (IRCC, LMIA/ESDC, etc.) is preferred.
  • Excellent attention to detail with strong organizational and time-management skills.
  • Ability to work independently and collaboratively within a team environment.
  • Positive attitude and passion for excellence.
  • Excellent word processing skills.
  • Strong computer and typing skills.
  • Strong written and verbal communication skills, with a professional and client-focused approach.
  • Solid time management, multitasking and prioritization skills.
  • Proficiency in the MS Office environment including Excel.
  • Commitment to maintaining confidentiality and handling sensitive information with discretion.
  • Fluent in Punjabi and Hindi
