Full job description

Position Overview

MedCare Health System is seeking an organized, dependable and detail-oriented Medical Administrative Assistant to support physician recruitment, clinical administration and day-to-day operational tasks. This position requires strong computer skills, excellent written communication and the ability to manage sensitive information accurately and confidentially.

The successful candidate will work closely with management, physicians and clinical assistants to coordinate documentation, resolve administrative issues and help ensure important tasks are completed on time. Experience with Accuro EMR and a medical office environment would be considered an asset.

Key Responsibilities

  • Create, update and manage physician recruitment postings through HealthForceOntario and other approved recruitment platforms.
  • Monitor active recruitment postings and maintain accurate records of applicants, vacancies and follow-up activities.
  • Coordinate introductions and communication between physicians, management and other healthcare professionals.
  • Maintain quarterly uninsured-service tracking reports and prepare organized lists for management review.
  • Review uninsured-service records for missing information, inconsistencies or outstanding items and follow up as required.
  • Format, distribute and maintain records of approved medical directives for physicians and clinical assistants.
  • Track the circulation, acknowledgement, renewal and version history of medical directives and related clinical documents.
  • Assist with resolving health-card validation errors, including reviewing patient information, identifying discrepancies and coordinating corrections.
  • Follow up on expired, invalid or incomplete health-card information and maintain accurate documentation of the steps taken.
  • Enter, update and retrieve information using Accuro EMR and other administrative systems.
  • Prepare reports, spreadsheets, correspondence, internal notices and other documents requested by management.
  • Maintain organized electronic and physical records while protecting patient and organizational confidentiality.
  • Monitor deadlines, outstanding requests and follow-up items to ensure tasks are completed promptly.
  • Communicate professionally with physicians, clinical staff, patients and external organizations.
  • Support general clinic administration and assist with additional operational projects or duties assigned by management.

Qualifications and Skills

  • Diploma or certificate in medical office administration, healthcare administration, business administration or a related field is preferred.
  • Previous experience in a medical clinic, healthcare organization or administrative position is an asset.
  • Experience using Accuro EMR is strongly preferred.
  • Strong computer skills, including proficiency with Microsoft Word, Excel, Outlook and online administrative platforms.
  • Excellent written and verbal communication skills.
  • Strong attention to detail and a high level of accuracy when managing records and reports.
  • Ability to prioritize multiple responsibilities and meet recurring deadlines.
  • Strong organizational, problem-solving and follow-up skills.
  • Ability to work independently while collaborating effectively with physicians, clinical staff and management.
  • Professional judgment and discretion when handling confidential patient, physician and organizational information.
  • Familiarity with Ontario health-card validation, uninsured services and physician recruitment processes is an asset.
