Full job description

SKIN Clinics is seeking a part time, highly organized and customer-

focused individual to join our team as a Client Care Coordinator at our

Winnipeg location. You will play a crucial role in providing exceptional

customer service and ensuring a smooth and pleasant experience for our

valued clients. Your primary responsibility will be to facilitate the

coordination of client appointments, inquiries, and support throughout

their journey with us. This position requires a strong attention to detail,

excellent communication skills, and a genuine passion for delivering

outstanding client care.

Responsibilities:

- Greet and warmly welcome clients, providing a professional and friendly first impression.

- Coordinate client appointments, ensuring accurate scheduling, and efficiently managing the clinic's appointment calendar.

- Complete skin care consultations for walk-in clients.

- Respond promptly and professionally to client inquiries via phone, email, and in-person, providing accurate information and resolving concerns or issues effectively.

- Maintain client records and ensure confidentiality and accuracy of information.

- Collaborate with the clinical team to ensure a seamless and coordinated experience for clients, including coordinating pre and post-treatment instructions.

- Provide administrative support, including managing paperwork, data entry, and assisting the manager with maintaining inventory of office supplies and products.

- Assist with marketing and promotional activities, such as organizing events, preparing marketing materials, and participating in community outreach programs.

- Actively contribute to maintaining a clean and welcoming clinic environment.

- Complete and support all opening and closing duties.

Requirements:

- Previous experience working in an aesthetic clinic in a customer service or client-facing role is preferred.

- Exceptional interpersonal and communication skills, with the ability to build rapport and provide a high level of customer service.

- Strong organizational and multitasking abilities, with keen attention to detail.

- Proficiency in using computer systems, including scheduling software and Microsoft Office.

- Knowledge of the cosmetic medicine industry, dermatology and a strong interest in aesthetics is essential.

- Ability to maintain a professional demeanor in a fast-paced and dynamic environment.

- Flexibility to work evenings or weekends, as required.
