Research Coordinator I — RADIS Lab Remote Robotics Program

About the Program

The Neurovascular Research Program and RADIS Lab at St. Michael's Hospital are a global leader in endovascular neurosurgery, applying cutting-edge research and technology to the treatment of vascular diseases of the brain and producing world-class outcomes in patient care, research, and education. Known internationally for a strong publication record and for closely linking clinicians and scientists, the team is also a leader in robotics, artificial intelligence, and international clinical trials — having performed the world's first robotic brain aneurysm treatment (2019) and the world's first telethrombectomy (2026) — and continues to innovate with the goal of improving access to care for patients.

Position Overview

We are looking for a Research Coordinator I to support the ROBOANGEL Global study and the broader remote robotics research program, working across the Neurovascular Robotics Program and RADIS Lab at St. Michael's and Sault Area Hospitals.

Research Coordinators work across a variety of settings — clinics, offices, the operating room, and remote hospital sites. Travel between sites may be required.

Note: given the variable nature of the position, the duties below are a guide and not an exhaustive list.

Key Responsibilities

Administrative Duties (40% of work time)

  • Helps establish study contracts and Research Ethics Board (REB) submissions and approvals.
  • Organizes purchase orders and shipment paperwork, including for equipment such as the robotic system.
  • Organizes and facilitates meetings with internal teams and external stakeholders, and runs the communication plan, disseminating information as needed.
  • Creates trainings, manuals, and e-learning content as needed.
  • Ensures maintenance, collection, transcription, and entry of study-related data, in accordance with hospital and privacy regulations.
  • Designs all source documents (templates, tracking files, forms, guidance documents) for the collection and management of information/data.

Research-Specific Tasks (40% of work time)

  • Organizes, sets up, and maintains equipment (e.g., robotic system).
  • Troubleshoots and resolves logistical and technical obstacles, including robotic system repair when required.
  • Plans, organizes, directs, controls, and evaluates the activities and operations of scientific research or quality control.
  • Provides ongoing coordination of study activities and day-to-day project management of timelines, resources, deliverables, and study tasks, including developing supporting processes and tools (e.g., workflows, Gantt charts).
  • Coordinates participants and helps with screening/recruitment.
  • Carries out quantitative and qualitative data collection.
  • Liaises with multiple internal and external stakeholders at local and international levels; navigates stakeholder relationships and responds proactively to anticipated challenges.
  • Helps prepare and present research-related materials in consultation with stakeholders: reports, proposals, publications, presentations, manuscripts, abstracts, newsletters, posters, etc.
  • Writes and revises manuscripts; performs data analysis, including screening abstracts and full-text articles, and reference scanning for scoping and systematic reviews.
  • Supports proposals (RFPs) and the grant application process and protocols.
  • Prepares grant letters of support.

Day-to-Day Project and Staff Guidance (20% of work time)

  • Provides on-call support for the clinical trial during regular work hours and on evenings and weekends.
  • Trains hospital staff (physicians, technologists, nurses, etc.) at the local hospital.
  • Organizes and runs remote simulations with the remote control site.
  • Trains, coordinates, and/or delegates tasks (including quality-control oversight of submitted assignments) to Research Assistants, casual staff, and internal/external collaborators.
  • May conduct conflict resolution as needed.
  • May develop and implement policies, standards, and procedures for the scientific and technical work performed in the department.
  • Cross-Functional and Other Duties
  • All staff are expected to carry out their assigned duties and responsibilities in a manner that prioritizes patient and employee safety and confidentiality. Key accountabilities include:
  • Maintains strict compliance with patient/employee confidentiality practices and policies, and appropriately identifies, reports, and responds to any breaches.

Qualifications, Knowledge, and Skills

Education & Experience (Required)

Undergraduate degree and 2 years of relevant experience, OR a demonstrable equivalent combination of specialized education and experience.

Certifications & Additional Education (assets, unless noted)

Health Canada Division 5 (preferred), TCPS CORE 2, Good Clinical Practice certificate, and Responsible Conduct of Research (RCR) — completed within the first 2 weeks of hire where required; RN designation or degree in Engineering is also an asset.

Knowledge & Technical Skills

  • Basic understanding of science and healthcare research, with project coordination and analytical problem-solving skills.
  • Computer proficiency, including Microsoft Office, database software, video conferencing tools (Zoom, Microsoft Teams), project management software (Teamworks, Microsoft Project), and reference managers (EndNote, Mendeley).
  • Plain-language writing and experience working with a diversity of stakeholders are assets.

Communication & Personal Attributes

  • Excellent verbal, written, and interpersonal communication skills, with empathy and sensitivity to diverse communities and priority populations (BIPOC, LGBTQ+, people who use drugs, people experiencing homelessness, or people with health issues); able to work independently and as part of a team.
  • Professional, self-motivated, punctual, and detail-oriented, with strong organizational skills to manage multiple projects in a fast-paced, adaptable environment, and a quick ability to learn new skills and assimilate new information.
