Full job description

Restore Mobility Physio & Wellness is a growing multidisciplinary healthcare clinic committed to delivering exceptional patient care through Physiotherapy, Massage Therapy, Kinesiology, Acupuncture, and other wellness services.

We are currently seeking a friendly, organized, and patient-focused Lead Clinic Administrator to join our team. This role is ideal for someone who thrives in a fast-paced healthcare environment, enjoys helping people, and takes pride in creating an outstanding patient experience from the moment clients walk through our doors.

What You'll Do

As the first point of contact for our patients, you will play a key role in the daily operations of the clinic by:

  • Managing appointments and schedules using JaneApp
  • Greeting and checking in patients with professionalism and warmth
  • Answering phone calls, emails, and clinic inquiries
  • Processing payments and direct billing to extended health providers
  • Assisting with ICBC, WorkSafeBC, and third-party billing processes
  • Maintaining accurate patient records and ensuring confidentiality
  • Coordinating practitioner schedules and treatment room readiness
  • Handling patient concerns and providing exceptional customer service
  • Supporting clinic operations, organization, and administrative workflows
  • Assisting with cleaning, sanitization, and maintaining a welcoming clinic environment
  • Performing additional administrative duties as required

What We're Looking For

Required Qualifications

  • Minimum 1 year of experience in a medical office, healthcare clinic, or administrative role
  • Experience using JaneApp
  • Experience with ICBC, WorkSafeBC (WSBC), and Extended Health Benefits direct billing
  • Strong computer skills including Microsoft Office (Word, Excel, Outlook)
  • Excellent verbal and written communication skills
  • Strong attention to detail and organizational skills
  • Ability to multitask and prioritize in a busy clinic setting
  • Professional, reliable, and team-oriented attitude
  • Fluent in English

Preferred Qualifications

  • Medical Office Assistant (MOA) Diploma
  • Experience in Physiotherapy, Chiropractic, Massage Therapy, or multidisciplinary clinics
  • Knowledge ofICBC, WorkSafeBC (WSBC), and Extended Health Benefits billing processes
