Full job description

Executive Coffee Services Ltd. is seeking a reliable and detail-oriented Office Administrator to support our day-to-day operations. This role is responsible for accounting administration, payroll support, customer service, and order entry, and plays an important role in month-end and quarterly processes.

This position will also lead the implementation of a new accounting system, including setup coordination, testing, documentation, and user support.

This position works closely with Operations and Accounting managment and is well suited for someone who is organized, accurate, and comfortable handling multiple responsibilities in a fast-paced office environment.

Responsibilities

  • Process payroll for Executive Coffee Services
  • Process Accounts Receivable and Accounts Payable (shared responsibility)
  • Credit card processing and balancing
  • Support bank deposits and cash-related processes
  • Perform customer service and order entry (calls, emails, order processing, issue routing)
  • Enter and manage customer orders accurately and efficiently
  • Participate in month-end and quarterly close activities
  • Prepare reconciliations, schedules, and reporting support
  • Maintain accounting documentation and procedures
  • Lead accounting system implementation (e.g. QuickBooks)
  • Assist with general office, property-related, and back-office duties as needed

Qualifications

  • Previous experience in office administration or accounting support
  • Post Secondary Degree or Diploma in a related field
  • Experience with accounting software (QuickBooks is an asset)
  • Strong organizational skills and attention to detail
  • Comfortable handling customer interactions and order entry
  • Ability to manage multiple priorities
  • Proficiency with Microsoft Office (Excel, Word, Outlook)
