Job Overview

Job Description: Clinical Office Manager (Medicolegal & Specialist Practice)

Position Title: Operations & Clinical Office Manager

Reports To: Managing Director / Clinical Director

Location: On-site (Office Headquarters)

Role Type: Full-Time, Senior Operational Leadership

Role Overview

We are looking for an uncompromising, high-execution Office Manager with direct experience running a high-paced specialist referral clinic or independent medical evaluation (IME) practice.

This position is built for a disciplined, Type-A operational leader who thrives on absolute precision, strict adherence to medico-legal protocols, and daily staff accountability. You will not be tasked with winning popularity contests; your sole mandate is to bulletproof our operational workflows, enforce zero-tolerance quality assurance on medical-legal reports, keep administrative staff strictly accountable to daily output targets, and ruthlessly eliminate bottlenecks across assessor scheduling and file curation.

If you are a direct communicator who knows the mechanics of specialist clinics and IME logistics inside and out, and you take pride in tight, iron-clad operational control, this role is for you.

Key ResponsibilitiesMedicolegal & Specialist Workflow Control

  • Direct all day-to-day operations for independent medical assessments, multi-specialist referrals, and expert file curation.
  • Enforce rigorous timelines for record retrieval, medical document indexing, assessor review windows, and final report turnaround.
  • Ensure absolute compliance with medico-legal guidelines, privacy legislation, and evidentiary standards across all outgoing documentation.
  • Act as the ultimate operational firewall between referring law firms/insurers, internal staff, and our roster of medical expert assessors.

Daily Staff Accountability & Output Management

  • Audit daily administrative output, booking volume, and task completion against strict operational KPIs.
  • Drive daily huddles and weekly performance reviews to ensure staff are meeting high-throughput expectations without sacrificing accuracy.
  • Identify operational drift or protocol shortcuts immediately, addressing performance gaps directly and firmly with zero hesitation.
  • Maintain professional boundaries and office discipline; hold staff fully accountable for their assigned domains.

Quality Assurance & Process Optimization

  • Oversee the final-stage quality control checks on all assessment reports prior to release, ensuring completeness, consistency, and adherence to legal requirements.
  • Standardize administrative procedures for examinee concierge bookings, client communications, and expert scheduling templates.
  • Proactively manage scheduling conflicts, assessor cancellations, or complex file rushes with calm, decisive authority.

Required Qualifications & Competencies

  • Industry Experience: 5+ years of progressive operational experience managing a busy specialist medical clinic, surgical practice, or independent medical examination (IME) / medical-legal assessment firm.
  • Domain Knowledge: Deep familiarity with medical-legal terminology, IME workflows, expert witness scheduling, and legal/insurance stakeholder demands.
  • Leadership Style: Uncompromising, direct, analytical, and highly structured. Values accountability, speed, and precision over consensus.
  • Communication: Exceptional verbal and written command; comfortable pushing back against underperforming staff, demanding experts, or external parties when protocols are breached.
  • Technical Mastery: Advanced proficiency in medical office management systems, secure document handling, and high-volume scheduling architecture.

Pay: $60,000.00-$75,000.00 per year

Benefits:

  • Casual dress
  • Dental care
  • Employee assistance program
  • Flexible schedule
  • On-site parking

Work Location: In person
