Overview

Join our dynamic property management team as an Assistant Property Manager, where you will play a vital role in supporting the daily operations of our residential properties. This position offers an exciting opportunity to develop your skills in property oversight, customer service, and administrative functions. You will work closely with the property manager to ensure smooth property operations, enhance tenant satisfaction, and maintain the property's value. Your proactive approach and attention to detail will contribute directly to creating a welcoming and well-managed environment for tenants.

Key Responsibilities

Leasing & Resident Services

  • Coordinate leasing activities, including responding to inquiries, scheduling showings, conducting property tours, and preparing lease documentation.
  • Assist with peak student leasing season, including evening and weekend showings as required.
  • Process rental applications and complete applicant screening.
  • Coordinate move-ins and move-outs, including key distribution and move-in packages.
  • Respond promptly to tenant inquiries, maintenance requests, and general correspondence.
  • Prepare notices, letters, and other tenant communications.
  • Assist with lease renewals, lease amendments, and resident file management.

Property Operations

  • Conduct move-in, move-out, quarterly, and routine property inspections.
  • Monitor property conditions and report maintenance deficiencies.
  • Coordinate maintenance requests with the Maintenance Team and follow up to ensure timely completion.
  • Assist with suite turnover coordination between tenancies.
  • Ensure common areas and properties meet company standards for cleanliness, safety, and appearance.
  • Monitor compliance with municipal bylaws, fire regulations, and company policies.

Administrative & Financial Support

  • Assist with rent collection and follow up on outstanding balances.
  • Review accounts receivable with the Property Manager and Property Administrator.
  • Process invoices, expense reports, and credit card reconciliations.
  • Maintain accurate tenant records and property documentation.
  • Assist with budget tracking and operating expense reporting.
  • Support accounting with reconciliations and financial reporting as required.

Vendor & Contractor Coordination

  • Schedule and coordinate contractors for repairs, maintenance, and property services.
  • Monitor contractor performance and confirm work is completed satisfactorily.
  • Obtain quotations for maintenance and repair projects when required.
  • Assist in coordinating seasonal services such as landscaping, snow removal, waste management, and HVAC maintenance.

Marketing & Communications

  • Create and maintain rental listings across marketing platforms.
  • Update the company website with available units and property information.
  • Assist with social media content, including LinkedIn and other digital marketing initiatives.
  • Coordinate photography, virtual tours, and marketing materials for vacancies.

Team Support

  • Participate in team meetings and contribute ideas to improve operations and resident satisfaction.
  • Build positive relationships with tenants, contractors, and clients.
  • Assist the Property Manager with special projects and portfolio initiatives.
  • Perform additional administrative and operational duties as assigned.

Qualifications

  • Post-secondary education in Business, Property Management, Real Estate, or a related discipline is considered an asset.
  • 1–3 years of experience in property management, real estate, customer service, or office administration.
  • Strong organizational and time management skills with the ability to prioritize multiple tasks.
  • Excellent written and verbal communication skills.
  • Strong customer service and conflict resolution abilities.
  • Proficiency with Microsoft Office (Outlook, Word, Excel).
  • Experience using property management software is considered an asset.
  • Knowledge of the Ontario Residential Tenancies Act is considered an asset.
  • Valid G driver's licence and reliable transportation.
