Full job description

Position Title: Project and Finance Administrator

Location: Halifax, NS

Type: Full-time (35 hours/ week)

Reports to: Program Manager and Finance and Office Manager

Salary : Starting salary of $53,166/annually, plus a comprehensive benefits package

Start date: As soon as possible, until March 31, 2027 (with possibility of extension)

Working conditions : ARAISA staff work in a hybrid environment which, for this position, includes a minimum of 3 days per week in the ARAISA office.

Travel within the Atlantic Region may be occasionally required.

THE OPPORTUNITY

The Atlantic Region Association of Immigrant Serving Agencies (ARAISA) is looking for a Project and Finance Administrator to join its growing team.

The Project and Finance Administrator will report to the Program Manager and will support the Project Lead for the Migrant Worker Support Program (MWSP) in all project activities with a particular focus on project reporting and financial requirements, data collection, and event planning. A key part of this role is maintaining regular liaison with sub-agreement holders. The Project and Finance Administrator will work closely with sub-agreement holders to support timely financial reporting and project activity reporting, ensure compliance with funding requirements, and help address any questions related to reporting processes.

The Migrant Workers Support Program focuses on ensuring that Temporary Foreign Workers (or migrant workers) know their rights and the services available to them while working in the Maritimes. The project also includes activities to better integrate migrant workers into the communities where they live and work in New Brunswick, Nova Scotia, and Prince Edward Island. This project aims to increase information sharing among partner organizations and support coordinated approaches to serve migrant workers in the Maritime provinces better.

The Project and Finance Administrator will also report to and support the Finance and Administration Manager in ensuring smooth day-to-day financial operations, including invoice and payment processing, Accounts Payable, Accounts Receivable and banking transactions posting, procurement support, and assisting with other financial tasks as needed.

MAJOR RESPONSIBILITIES

Financial Tasks:

  • Prepare all types of requisitions and batch payment files.
  • Collect supporting documents (invoices, receipts, ACH and VC, etc.) for requisitions and claims in accordance with financial policies and procedures.
  • Maintain an accurate, up-to-date vendor list in both files and accounting software.
  • Maintain user-friendly financial templates.
  • Post AP, AR, bank and credit card transactions in accounting software.
  • Generate financial reports in accounting software for review.
  • Assist in filing supporting documents and conducting audits if needed.

Project Tasks:

  • Collect and review financial reports submitted by sub-agreement holders, reconcile the financial reports with the General Ledger and advance requests, and prepare internal requisition forms.
  • Support the Finance and Administration Manager in completing and submitting financial reports to the funder in a timely manner.
  • Assist in filing supporting documents and conducting audits if needed.
  • Assist in processing expense claims as needed.
  • Assist in the organization of the virtual knowledge-sharing events.
  • Assist in the planning of site visits to partners.
  • Conduct site visits to partners along with the Project Lead to oversee progress and provide support to partners.
  • Assist in the development of documents related to the project, such as management and tracking tools for sub-agreement holders.
  • Collect narrative reports submitted by the sub-agreement holders and provide feedback to the Program Manager & Project Lead as required.
  • Support in data entry in respective government and internal databases.

The Project and Finance Administrator is also responsible for:

  • Contributing to a positive team environment where equity, diversity, inclusion, trust, learning and well-being are valued.

  • Representing ARAISA at events or external meetings, when requested.
  • Other duties, as necessary.

EXPERIENCE/QUALIFICATIONS

  • Post-secondary study in a relevant field(s) such as Business Administration with a concentration in Finance or Accounting
  • Minimum 2 years of experience in program administrative work, including work planning, budgeting, financial administration, and writing reports
  • Minimum 1 year of experience in bookkeeping and proficiency with accounting software (e.g. Sage 50, QuickBooks, etc.)
  • Excellent written and verbal communication skills in English required; French is an asset
  • Strong organizational, problem-solving, and analytical skills
  • Excellent skills in Excel and advanced computer proficiency in Word, Outlook, MS Teams, SharePoint, and Zoom
  • Experience in event planning and logistical support is an asset
  • Strong time management skills, including efficiently prioritizing and managing multiple tasks.
  • High degree of accuracy and attention to detail
  • Demonstrated ability to work both independently and cooperatively with a high degree of initiative and responsibility
  • Must be legally able to work in Canada (work permits must be valid for at least 12 months)
