We are seeking an experienced Administrative Assistant to join an established company based in Port Moody. This is a full-time, contract opportunity to cover a sick leave & vacation, with a large shipping company.

The coverage starts ASAP with training provided, and is estimated to run until Early August or until the end of September - To Be Confirmed.

Qualifications & Experience:

  • Minimum 5+ years of administrative experience within a professional office environment (logistics or shipping industry experience is an asset)
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience working with in-house or ERP software systems
  • Demonstrated experience handling accounts payable and receivable processes
  • Previous experience processing payroll, ideally on a weekly cycle
  • Strong communication skills with the ability to manage incoming calls and front-desk responsibilities
  • Excellent organizational and time-management skills with the ability to multitask and meet deadlines
  • High attention to detail and accuracy in data entry and financial tasks
  • References and a background screening will be conducted for candidates moving forward in consideration

Role Responsibilities:

  • Manage incoming calls and perform receptionist duties, acting as the first point of contact for clients and visitors
  • Process accounts payable and receivable transactions using in-house software systems
  • Complete weekly payroll processing for ranging # of unionized employees
  • Coordinate and schedule meetings, appointments, and company events across departments
  • Plan and organize business lunches and internal team functions
  • Provide general administrative support, including filing, data entry, and document management
  • Collaborate closely with the accounting, operations, and leadership teams

  • Working days: Monday to Friday
  • Working hours: 8:00am - 4:30pm
  • Hourly rate: $27–$30 per hour, commensurate with experience
