Position Summary

The Accounting Assistant is responsible for supporting the daily accounting operations of the Canadian Finance Department. This role focuses on Accounts Payable, Accounts Receivable, banking activities, payment processing, reconciliations, and financial administration to ensure the accuracy, completeness, and timeliness of financial records.

The position also supports the Finance team in warehouse cost monitoring, budget tracking, month-end close, and management reporting, enabling senior finance staff to focus on financial analysis, planning, and business support.

Key Responsibilities

Daily Accounting Operations

  • Assist with daily accounting operations, including Accounts Payable (AP), Accounts Receivable (AR), expense processing, and general bookkeeping.
  • Process vendor invoices and prepare payment requests in accordance with company policies and approval procedures.
  • Prepare and issue customer invoices, monitor incoming payments, and assist with collection follow-up on outstanding receivables.
  • Process PayCargo payments, urgent bank transfers, and Headquarters payment requests requiring Canadian processing.
  • Perform daily bank payment transactions and accurately record receipts and disbursements.
  • Manage corporate credit card transactions, verify supporting documentation, and complete monthly reconciliations.
  • Maintain accurate accounting records, supporting schedules, and financial documentation.

Banking & Reconciliation

  • Perform monthly bank reconciliations.
  • Reconcile customer and vendor accounts.
  • Assist with General Ledger reconciliations.
  • Investigate and resolve reconciliation discrepancies on a timely basis.
  • Support intercompany reconciliations with Headquarters and overseas branches (excluding the US and Mexico).

Month-End & Financial Reporting

  • Support month-end and year-end closing activities, including journal entries, accruals, reconciliations, and account analysis.
  • Assist in preparing financial reports, schedules, and management reports.
  • Prepare supporting documentation for internal and external audits.
  • Assist with GST/HST returns, tax remittances, and regulatory filings.
  • Support cash flow reporting and other routine financial reporting requirements.

Warehouse Cost Monitoring & Budget Support

  • Assist in maintaining warehouse cost records and supporting documentation.
  • Prepare cost summaries and operational expense reports for management review.
  • Support warehouse cost tracking against approved budgets.
  • Assist in compiling data for warehouse profitability, cost analysis, and budget monitoring.
  • Coordinate with warehouse and operations teams to obtain supporting information for cost verification.

Financial Controls & Process Improvement

  • Ensure accounting records comply with company policies and internal controls.
  • Maintain organized accounting files and documentation.
  • Assist in identifying opportunities to improve accounting processes and workflow efficiency.
  • Support Finance projects and other ad hoc assignments as required.

Education, Experience & Qualifications

  • Bachelor's degree or Diploma in Accounting, Finance, or a related discipline.
  • CPA designation or progress toward CPA is considered an asset.
  • Minimum 2 years of accounting or bookkeeping experience.
  • Strong understanding of accounting principles and financial processes.
  • Experience with Accounts Payable, Accounts Receivable, banking, and reconciliations.
  • Experience with QuickBooks, CargoWise, or other ERP/accounting systems is an asset.
  • Advanced Microsoft Excel skills, including Pivot Tables, XLOOKUP/VLOOKUP, SUMIFS, and data analysis.
  • Strong analytical, organizational, and problem-solving skills.
  • High attention to detail and commitment to accuracy.
  • Ability to prioritize multiple tasks and meet deadlines in a fast-paced environment.
  • Strong written and verbal communication skills.
  • Experience in the logistics, freight forwarding, or supply chain industry is considered an asset.
  • Fluent in English; Mandarin is an asset.
