What we seek:

OCH is currently seeking a dedicated Human Resources Administrator (Temporary) to provide administrative and operational support to the Human Resources team in the delivery of a broad range of human resources programs, services, initiatives, and activities. Under the guidance of the Director, Human Resources, the Human Resources Administrator coordinates and supports key administrative processes across multiple functional areas, including human resources administration, compensation and benefits, disability management, occupational health and safety, HR information systems, reporting, and records management.

The Human Resources Administrator contributes to the efficient and effective delivery of Human Resources services by ensuring the accuracy, integrity, and confidentiality of employee information, responding to inquiries, coordinating administrative processes, and supporting continuous improvement initiatives. Working collaboratively with internal and external stakeholders, the Human Resources Administrator contributes to a client-focused, team-based approach that supports the achievement of departmental and organizational objectives.


Human Resources Administrator with OCH:

In this role, you will directly support OCH’s Strategic Plan by enabling efficient HR operations, accurate workforce data, and responsive employee services. By helping build a strong and effective workforce, you will support OCH’s ability to deliver high-quality services and improve the lives of tenants and communities across Ottawa


As a Human Resources Administrator, some of the things you will do include:

  • Provide broad administrative support to the Director and the Human Resources team, ensuring the efficient coordination of day-to-day HR operations and departmental activities

  • Support the administration of employee compensation and benefits programs by coordinating enrollments and changes, responding to employee inquiries and maintaining accurate records

  • Provide administrative support for disability management files, including coordinating medical documentation, maintaining confidential case files, tracking key dates and return-to-work plans, scheduling meetings, and supporting communications with internal and external stakeholders

  • Assist in the administration of occupational health and safety programs by maintaining required documentation, supporting incident reporting and investigations, tracking corrective actions, and ensuring compliance with legislative and organizational requirements

  • Support WSIB administration by processing invoices, maintaining claim documentation, tracking claim-related information and assisting with reporting and correspondence

  • Coordinate and provide administrative support for a broad range of HR programs, services, initiatives, and corporate activities, ensuring timely and accurate execution

  • Receive and respond to internal and external HR-related inquiries in a timely, informed and courteous manner, making appropriate referrals as required

  • Gather, review, and collate information on identified topics that enables effective planning, decision making, and continuous improvement

  • Assist in the creation and maintenance of administrative systems that support HR functions

  • Support administrative processes related to the Human Resources Information System (HRIS), including the input and maintenance of employee data.

  • Support HR metrics and reporting by maintaining HR data and preparing regular reports to assist with tracking and decision-making.

  • Support departmental and organization wide data and reporting requirements

  • Maintain files and records in keeping with approved records management practices and OCH policies and procedures

  • Assist with financial and expense management, including invoice and payment processing, including WSIB invoices.

What you bring:

Education & Experience:

A typical candidate will have the following qualifications and experience. Exceptional candidates with different qualifications will be considered at the discretion of the employer if demonstrated experience, knowledge, and ability warrant.

  • Successful completion of a College Diploma or Certificate in Human Resources or related discipline

  • A minimum of two (2) years of related experience in Human Resources administration, preferably in a unionized work environment

  • Experience using human resource information systems

  • Possess or is working towards a Certified Human Resources Professional designation is an asset

  • Knowledge of Human Resources administrative practices and procedures

  • Knowledge of general office and administrative procedures

  • Knowledge of records management principles and practices

  • Knowledge of Word, Excel, PowerPoint, Outlook, database applications and other standard corporate software

  • Understanding of the values, vision and mission of Ottawa Community Housing and a commitment to support those objectives

  • Knowledge of applicable health and safety legislation, including the rights and responsibilities of workers and supervisors

  • Must be familiar with all applicable statutory requirements, policies, procedures and guidelines relevant to area of work


Skills and abilities:

  • Excellent organizational skills including the ability to manage multiple priorities under pressure

  • Ability to understand and work with collective agreements and employment contracts

  • Ability to write professionally, synthesize data and organize written material effectively

  • To work independently with a strong teamwork philosophy and approach

  • Excellent interpersonal skills allowing for appropriate professional relationships with colleagues at all levels within the organization, as well as, with external stakeholders

  • Works in a confidential manner and demonstrates tact and diplomacy when dealing with sensitive issues

  • Makes appropriate judgement and demonstrates sound decision making

  • Strong customer service abilities

  • Ability to identify issues requiring escalation to supervisor

  • Proficient in the use of information technology such as databases, spreadsheets, mobile devices and computer systems in the performance of work

  • Proficiency in English, oral, reading and writing is required

  • Proficiency in French, oral, reading and writing is preferred

Work conditions:

This is a temporary full-time (35 hrs per week) hybrid position with on-site attendance as required.
