Cohere Centre is Ottawa’s premier purpose-built exhibition and event facility, offering four state-of-the-art exhibit halls, meeting rooms, banquet facilities, and ample on-site parking. With 150,000 square feet of column-free exhibition space and a client-focused team, Cohere Centre is a leading venue for trade shows, consumer shows, conferences, meetings, banquets, and special events in the National Capital Region.

Role Description

Cohere Centre is seeking a Senior Coordinator, Exhibitor Services & Events to join our team.

This full-time, on-site role combines exhibitor services, event coordination, client support, and operational administration. Exhibitor Services will be the primary focus. The successful candidate will be the main point of contact for exhibitors requiring electrical, rigging, labour, and related venue services, while also supporting the Events Team with planning, client communication, event documentation, logistics, and on-site execution.

Key Responsibilities

Exhibitor Services

· Serve as the primary liaison for exhibitors regarding electrical, rigging, labour, and related event service requirements.

· Coordinate and process sales orders for electrical, rigging, and labour services for trade shows, consumer shows, conferences, and special events.

· Work the Exhibitor Services Desk during move-in, event days, and move-out, including processing orders, answering exhibitor questions, and supporting service requests.

· Process payments through the online ordering system and ensure accurate tracking of exhibitor orders, payments, service changes, and outstanding requirements.

· Market venue services to exhibitors and show managers, including electrical, rigging, labour, and other available support services.

· Conduct on-site visits and assist exhibitors, clients, show managers, and internal teams with service-related questions.

· Review floor plans and exhibitor requirements to identify electrical, rigging, labour, and service needs.

· Maintain accurate administrative records, including order documentation, invoices, event files, printing, scanning, copying, filing, and data entry.

Event Coordination & Team Support

· Support the Events Team with the planning, coordination, and execution of assigned events.

· Assist with client communication and help maintain positive client relationships throughout the event planning process.

· Gather, track, and communicate client requirements to internal departments and service partners.

· Assist with event orders, floor plans, schedules, reports, operational details, menus, suppliers, guest lists, staffing needs, and event logistics.

· Liaise with Operations, Food & Beverage, Security, Cleaning, AV, Show Services, and other venue service partners as required.

· Provide on-site support during event move-in, show days, and move-out.

· Support scheduling and coordination of part-time or temporary staff as needed.

· Respond promptly and professionally to inquiries from clients, exhibitors, vendors, and internal team members.

· Assist with general administration, reporting, day-to-day operational support, and special projects.

Client, Exhibitor & Operational Service

· Deliver a high level of customer service to clients, exhibitors, attendees, and internal stakeholders.

· Remain calm, professional, and solutions-focused in high-pressure event situations.

· Identify service needs, operational gaps, and opportunities to improve the exhibitor and client experience.

· Support compliance with venue procedures, event timelines, safety requirements, and service standards.

· Contribute to a collaborative team environment where staff support one another across departments to ensure successful events.

Qualifications

· Previous experience in event coordination, exhibitor services, hospitality, venue operations, trade shows, customer service, or a related field.

· Strong communication, customer service, and client relationship skills.

· Excellent organization, attention to detail, and ability to manage multiple priorities at the same time.

· Ability to work within deadlines and adapt quickly during event set-up, event days, and move-out.

· Confidence handling payments, order processing, deposits, and administrative records.

· Ability to interpret basic floor plans and understand event layouts.

· Knowledge of basic electrical, rigging, labour, floor plan interpretation, or event procedures is considered an asset.

· Sales or service-promotion experience is considered an asset.

· Strong computer skills and ability to learn online ordering, event management, and internal tracking systems.

· Professional presentation, reliability, and a positive team-focused attitude.

· Bilingualism is considered an asset but is not required.

· High school diploma or equivalent required; post-secondary education in event management, hospitality, business administration, or a related field is preferred.

· Availability to work occasional evenings, weekends, and event-specific hours as required.

Ideal Candidate

The ideal candidate is organized, reliable, efficient, and comfortable taking ownership of a key revenue-generating service area. They are confident working directly with exhibitors and clients, accurate when processing orders and payments, and flexible enough to support the Events Team wherever needed.

Compensation

Salary range: $54,000–$62,000 annually, based on experience.
