THE ROLE:
The Community Manager oversees day-to-day community operations of one or more Petwin Properties residential communities in Edmonton, Alberta. This position serves as the primary point of contact for tenants and works closely the Property Manager, maintenance team, leasing staff, vendors, and contractors. The successful candidate will provide excellent tenant service, support leasing and rent collection activities, coordinate maintenance and building operations, and help ensure the property is safe, well maintained, and operating efficiently.
RESPONSIBILITIES:
Tenant Relations and Community Building
- Serve as the primary point of contact for tenant questions, concerns, complaints, and service requests.
- Build positive and professional relationships with current and prospective tenants.
- Respond to tenant concerns promptly, document actions taken, and escalate serious or unresolved matters to the Property Manager.
- Prepare and distribute tenant notices, building updates, newsletters, and other communications.
- Support tenant retention by addressing concerns and maintaining a welcoming and well-managed community.
- Coordinate tenant engagement initiatives, including move-in welcomes, seasonal activities, and tenant-appreciation events.
- Monitor tenant conduct and support the enforcement of lease terms and community rules
Leasing and Occupancy Support
- Respond to rental inquiries and conduct property tours for prospective tenants.
- Follow up with prospective tenants and assist in maintaining occupancy targets.
- Assist with rental applications, lease documentation, renewals, and tenant retention.
- Conduct move-in and move-out inspections and ensure all required reports are completed accurately.
Operations and Maintenance Liaison
- Log and track maintenance requests through resolution; follow up with tenants
- Coordinate with vendors and contractors for scheduled work and inspections
- Conduct regular inspections and walkthroughs of the buildings, vacant suites, common areas, grounds, and parking areas
- Support compliance with building safety, fire code, and local housing regulations
- Monitor the quality of work completed by contractors and service providers and report concerns to the Property Manager
Administration
- Maintain accurate and confidential tenant records and files.
- Monitor rent payments and follow up professionally regarding outstanding balances.
- Prepare and deliver notices and other tenant correspondence
- Prepare regular occupancy, leasing, delinquency, maintenance, and property activity reports.
QUALIFICATIONS SKILLS & ATTRIBUTES:
- 3+ years in property management, hospitality, customer service, or community management
- Strong written and verbal communication skills
- Comfortable handling conflict and de-escalating tenant concerns
- Organized, detail-oriented, able to manage multiple open items at once
- Proficiency with property management software (Yardi or similar) is an asset
- Working knowledge of residential tenancy requirements and property management practices is considered an asset.
- Available for occasional evening/weekend hours for events or emergencies
- Experience in a single- or small-portfolio (1–2 property) building environment
- Experience with leasing, tenant relations, rent collections, and building operations
- Experience coordinating maintenance staff and vendors
- Event planning or hospitality background
- Bilingual a plus, depending on building demographics
- Knowledge of Alberta Residential Tenancies Act is an asset
