Job Summary

We are seeking a highly organized and detail-oriented Document Control Clerk to join our dynamic team. In this pivotal role, you will be responsible for managing, organizing, and maintaining all project documentation and records with precision and efficiency. Your proactive approach will ensure that all documents are accurately filed, easily accessible, and compliant with company standards. This position offers an exciting opportunity to contribute to the smooth operation of our project management processes while utilizing your exceptional administrative and technical skills. Duties

  • Complete Daily site requirement submittals
  • Ensure all documents are correctly labeled, version-controlled, and stored securely to facilitate easy retrieval and compliance.
  • Manage electronic and hard-copy filing systems.
  • Maintain document registers, transmittals and distribution logs.
  • Assist with compiling turnover packages, operation and maintenance manuals and as-built documentation.
  • Coordinate document submissions with clients, consultants and project teams.
  • Follow up on outstanding approvals and required documentation.
  • Ensure documents comply with project naming and filing requirements.
  • Support project managers, coordinators and site supervision as required.
  • Maintain confidentiality of company and project information.

Qualifications

  • Proven experience in administrative roles with a focus on records management or document control.
  • Strong proficiency in Microsoft Office Suite including Word, Excel, Outlook, Access, and Project; familiarity with Google is an asset.
  • Excellent organizational skills with the ability to manage multiple tasks efficiently while meeting deadlines.
  • Effective communication skills in English; bilingual abilities in French are a plus for diverse environments.
  • Demonstrated analysis skills for reviewing documents for accuracy and completeness.
  • Knowledge of databases and computer skills necessary for managing electronic records systems.
  • Experience with procurement processes and filing systems is advantageous.
  • Ability to work independently as well as part of a team; leadership qualities are valued.
  • Strong time management skills combined with attention to detail to ensure high-quality record-keeping standards.
