Document Preparation Assistant (Full- Time Contract)
South Vancouver, BC

We are seeking a highly organized and detail-oriented Document Preparation Assistant to join Wesgroup’s records digitization project through the end of 2027. Reporting to the Manager, Office Services, you will play an important role in transforming our physical records into an organized and accessible digital archive, with responsibility for document preparation, scanning, quality control and file organization.
In this hands-on role, you will prepare documents for scanning by organizing files, removing fasteners, sorting records, and ensuring materials are ready for digitization. This position involves high-volume document handling and is ideal for someone who enjoys structured work, takes pride in accuracy, and thrives in a fast-paced environment where attention to detail matters.

WHAT YOU’LL DO

  • Prepare documents for scanning by removing staples, paper clips, bindings, and other fasteners.
  • Sort, organize, label, and prepare files and bankers' boxes according to established processes.
  • Verify documents are complete, organized, and in the correct sequence before digitization.
  • Maintain a high degree of accuracy and quality while processing large volumes of records.
  • Handle confidential and sensitive information in accordance with company policies.
  • Maintain a clean, safe, and organized work environment.
  • Lift, carry, and move bankers' boxes weighing up to 40 lbs.
  • Work effectively in a warehouse or records storage environment.
  • Provide occasional backup support to the Document Control team as required.
WHAT WE’RE LOOKING FOR

  • Exceptional attention to detail and ability to follow established procedures.
  • Comfortable performing repetitive tasks while maintaining a high level of quality.
  • Organized, dependable, and able to work independently with minimal supervision.
  • Strong time management skills and ability to maintain productivity while meeting deadlines.
  • Able to perform the physical requirements of the role, including standing for extended periods and lifting bankers' boxes weighing up to 40 lbs.
  • Reliable, punctual, and committed to successfully completing the full contract term.
  • Previous experience with records management, filing, document preparation, or administrative support is an asset, but not required.
COMPENSATION & REWARDS

  • The expected hourly salary range for this role is $ 19 – 20 per hour. Actual salary offered will depend on individual experience and qualifications for the role.
