We are a busy, established accounting firm in Surrey seeking an experienced Senior Administrator to provide senior-level administrative support to our accounting team and clients.

This position requires someone who is highly organized, professional, detail-oriented, and comfortable taking ownership of multiple files and deadlines. The successful candidate will play an important role in client communication, tax administration, CRA filings, collections, document management, and general office support.

There is an opportunity for the position to grow into a management role in the future based on experience, demonstrated capabilities, and the needs of the firm.

Key Responsibilities

  • Maintain and track client files, deadlines, outstanding information, and required follow-ups.
  • Communicate with clients regarding missing documents, information, signatures, approvals, and upcoming deadlines.
  • Follow up consistently with clients to ensure required information is received.
  • Prepare, organize, assemble, and distribute tax packages, financial statements, correspondence, and other client documents.
  • Assist with the processing and electronic filing of personal and corporate tax returns, T-slips, and other CRA filings.
  • Assist with CRA correspondence and other administrative tax matters.
  • Maintain accurate electronic and physical client files and records.
  • Monitor accounts receivable and follow up professionally with clients regarding outstanding invoices and collections.
  • Coordinate incoming and outgoing documents and correspondence.
  • Provide administrative support to accountants during busy tax and filing periods.
  • Provide reception coverage as required, including answering calls, greeting clients, scheduling appointments, and receiving documents.
  • Maintain strict confidentiality of client, financial, and firm information.
  • Perform other duties as required in support of the accounting practice.

Qualifications

  • 7-10 years of administrative experience, preferably in an accounting, tax, legal, financial, or professional-services environment.
  • Strong organizational and time-management skills with excellent attention to detail.
  • Ability to independently manage multiple priorities and deadlines.
  • Excellent written and verbal communication skills.
  • Professional and confident when communicating and following up with clients.
  • Strong initiative, judgment, reliability, and follow-through.
  • Proficiency with Microsoft Outlook, Word, Excel, Adobe/PDF software, and general office technology.
  • Experience with Canadian tax filings, T-slips, CRA electronic filing procedures, and tax-related documentation is a strong asset.
  • Experience with Intuit ProFile, Caseware Working Papers, or similar accounting/tax software is an asset.
  • Accounts receivable and collections experience is an asset.

Ideal Candidate

The ideal candidate is organized, proactive, dependable, detail-oriented, and persistent with follow-up. They should be comfortable taking ownership of their responsibilities, working independently, and ensuring matters are followed through to completion.

The ability to remain calm, organized, and professional during busy tax seasons and deadline periods is essential.

Opportunity for Growth

For the right candidate, this position offers the opportunity to take on increasing responsibility and potentially advance into an Office Manager or other management position in the future.
