THE POSITION

Keyera is looking for a welcoming, highly organized and service-driven leader who takes pride in creating an exceptional workplace experience. As Team Lead, Office Services in our Calgary head office, you will lead a team of five professionals and ensure employees, leaders and visitors receive responsive, thoughtful and seamless office support. You are approachable and hands-on, anticipate needs before they arise, and bring composure, structure and exceptional follow-through to a fast-paced environment.

RESPONSIBILITIES

  • Provide visible, approachable day-to-day leadership to the Office Services team, setting clear service standards, coaching performance and fostering a collaborative, team-based approach to responsive, high-quality service.
  • Develop and implement office guidelines, procedures and protocols that improve productivity and service delivery while ensuring compliance with health and safety standards and company policies.
  • Oversee daily administrative support and front desk operations, including reception, meeting rooms, mailrooms, kitchens, supplies and equipment, to ensure efficient workflows and a welcoming, well-maintained workplace.
  • Anticipate workplace needs and resolve service issues proactively, remaining composed and solutions-focused as multiple requests require attention.
  • Build trusted relationships with employees, Executive Assistants, leaders, vendors and other internal stakeholders through clear communication, responsiveness and reliable follow-through.
  • Partner with project teams on corporate office relocations, planning and logistics; manage routine office moves and restacks, including workstation reconfigurations and ergonomic assessments.
  • Coordinate office maintenance, repairs and facility requests with building management, minimizing disruption through proactive planning and communication.
  • Manage office services vendors and support the annual budgeting process, maintaining oversight of expenditures and identifying cost savings, efficiencies and opportunities to maximize service value.
  • Provide catering expertise and coordination for internal business units, ensuring professional, timely and high-quality support for meetings, events and executive requirements.
  • Administer Calgary office parking, the corporate travel program and the Envoy reception tool with accuracy, responsiveness and attention to detail.
  • Ensure the physical and digital flow of all incoming and outgoing mail, couriers and package deliveries for employees across North America.
  • For the next six to eight months, oversee consistent service delivery across two corporate office locations until relocations finalized.
  • Support executive-level staff as needed, including scheduling meetings, preparing reports and handling sensitive information and requests with sound judgment and professionalism.

QUALIFICATIONS

  • Minimum 8 years of demonstrated experience leading a service-oriented team in office services, hospitality, workplace experience, facilities or a related environment.
  • A strong record of owning service delivery, responding promptly and following requests through to resolution.
  • Professional, approachable, and people-first leadership style with the ability to coach, engage and hold others accountable.
  • Exceptional organizational, problem-solving and time-management skills, with the ability to anticipate needs, manage multiple competing priorities in a fast-paced environment and maintain strong attention to detail.
  • Exceptional collaboration and interpersonal skills, with the ability to listen actively, communicate with warmth and clarity, navigate differing perspectives and build trusted relationships across all levels of the organization.
  • Discretion and professionalism when handling confidential or sensitive matters.
  • Proficiency with Microsoft Office and workplace or office-management systems.
  • Experience supporting a large corporate office, executive population and/or multi-location operation.
  • Experience with office moves, vendor management, budgeting, corporate travel and workplace technology.
  • Facilities Management Professional Designation from IFMA (International Facilities Management Association) is considered an asset.
