Location - This role is in-person at North Campus Edmonton. Following a six-month probation period, this position will be eligible to apply to the University of Alberta Work from Home Program for a hybrid work arrangement.
The Department of Pediatrics at the University of Alberta is one of Canada’s leading academic health centres for pediatric specialty and subspecialty education and research. Working closely with the Stollery Children’s Hospital and community pediatrics in Northern Alberta, we are committed to meeting the unique needs of our community and providing exceptional care for infants, children, youth, and families. The Medical Education Program Coordinator (MEPC) plays a vital role in ensuring the success and seamless functioning of the residency program. Collaborating closely with the Program Director and reporting to the Medical Education Team Lead, the MEPC provides essential day-to-day administrative support and acts as a primary liaison among faculty, trainees, and external stakeholders. This role demands strong interpersonal skills, sound decision-making, and critical thinking. Equally important are initiative, adaptability, and the ability to multitask effectively in a high-paced and demanding environment. The ideal MEPC is a positive, community-oriented individual who thrives in collaborative settings. A comprehensive understanding of the specific requirements of the education program is crucial, with one year of on-the-job training necessary to develop the skills and expertise needed for success.
The Faculty of Medicine & Dentistry is one of the world’s top academic health science centres. With 21 departments, multiple research institutes and centres, and a focus on excellence in education, research, and clinical care, the faculty trains outstanding medical and dental professionals and drives global health innovation in collaboration with partners across sectors.- Serve as the primary administrative contact for the residency program, supporting trainees, faculty, and external agencies.
- Maintain confidential trainee records
- Manage the Program Director’s academic calendar
- Draft, revise, and distribute trainee rotation and on-call schedules, and, in collaboration with the Program Director, manage leave requests — balancing trainee needs, program requirements, clinical service demands, and ensuring adequate coverage.
- Coordinate assessments, evaluations, and examinations (e.g., one45, CBME.med, OSCEs) and track trainee progress.
- Support Competency-Based Medical Education (CBME) by organizing committee meetings and liaising with Academic Advisors and faculty.
- Lead resident recruitment (CaRMS), including applicant coordination, interview logistics, and program website updates.
- Organize key program events (orientation, awards, committee meetings) and support accreditation, budget monitoring, and procurement.
- 3+ years of related administrative or program coordination experience.
- Post‑secondary degree in a relevant discipline is preferred.
- High school diploma required, ideally supported by relevant post‑secondary coursework.
- Equivalent combinations of education and experience will be considered.
- Prior experience in medical education, ideally supporting undergraduate and/or postgraduate learners.
- Sound judgment and discretion when managing confidential information.
- A demonstrated ability to foster a positive, collaborative, and community-driven work environment.
- Strong interpersonal and communication skills to cultivate relationships with trainees, faculty, and colleagues.
- Adaptability to juggle multiple tasks and address challenges proactively in a dynamic setting.
- Capability to work independently while contributing to a cohesive team.
- Proficiency in computer applications, including databases, word processing, spreadsheets (Excel), and the Google Workspace platform.
- Proficiency in English grammar and proofreading.
- Familiarity with Web Eval and CALLY systems is considered an asset.
