Operations Scheduler

About First Defence Security

First Defence Security Ltd. has been protecting people, property and businesses across the Halifax Regional Municipality since 2017. We provide uniformed security guard services to a diverse portfolio of clients, including commercial properties, residential buildings, events, retail locations and institutional sites. Our reputation is built on reliable coverage, professional guards and responsive service, and the Operations Scheduler sits at the centre of all three.

The Role

The Operations Scheduler is responsible for building and maintaining the shift schedules for our security guard team across all client sites throughout HRM. You will make sure every post is covered, every guard is properly licensed and qualified for the site they are assigned to, and every client receives the coverage they are contracted for. This is a fast-moving, detail-driven role that requires calm judgment when things change at short notice.

What You'll Do

  • Build, publish and maintain weekly and monthly shift schedules for security guards across multiple client sites in HRM
  • Ensure all scheduled guards hold a valid Nova Scotia security guard licence and any site-specific training or clearances required by the client
  • Track guard availability, time-off requests, vacation and leave, and adjust schedules accordingly
  • Fill open shifts, sick calls and no-shows quickly, including outside regular business hours on a rotating on-call basis
  • Manage the on-call and standby guard pool to maintain rapid response coverage
  • Monitor hours to control overtime, avoid double-booking and stay compliant with Nova Scotia Labour Standards
  • Communicate daily with guards regarding assignments, site details, post orders and schedule changes
  • Coordinate with clients on coverage requests, special events, extra shifts and schedule confirmations
  • Maintain accurate records in our scheduling and timekeeping software and verify hours for payroll and client billing
  • Support the onboarding of new guards by scheduling site orientations and shadow shifts
  • Identify recurring coverage gaps and recommend staffing solutions to management
  • Assist with other operational and administrative tasks as required

What We're Looking For

Required

  • 2+ years of experience in scheduling, dispatch, workforce coordination or operations administration, ideally in security, staffing, healthcare, hospitality or a similar shift-based industry
  • Strong working knowledge of HRM geography, including travel times between Halifax, Dartmouth, Bedford, Sackville and surrounding communities
  • Proven ability to manage multiple priorities and make quick decisions under pressure
  • Excellent verbal and written communication skills and a professional, respectful manner with guards and clients alike
  • High attention to detail and accuracy in record-keeping
  • Proficiency with Microsoft Office (Excel and Outlook in particular) and comfort learning scheduling software
  • Availability to participate in an after-hours on-call rotation for urgent coverage issues
  • Ability to pass a criminal record check

An Asset

  • Experience with Connecteam, the scheduling and workforce management platform we use
  • A valid Nova Scotia security guard licence or prior experience as a security guard or supervisor
  • Familiarity with Nova Scotia Labour Standards as they apply to shift work, overtime and rest periods
  • Valid driver's licence and access to a vehicle
