Position Summary

Lind Equipment is seeking a highly organized, proactive, and professional Administrative & Communications Coordinator to provide administrative and coordination support to the Executive Team and assist with the day-to-day operations of our Toronto office.

The primary focus of this position is administration, organization, coordination, and follow-through. The role provides direct administrative support to the CEO and President, including calendar and meeting management, travel coordination, correspondence, documentation, and tracking of priorities and follow-up activities.

The position will also support members of the Executive Team with professional social media activities, external communications, industry engagement, and stakeholder outreach. In addition, the role will provide administrative support for HR, employee engagement initiatives, company events, and general office operations.

The ideal candidate is highly organized, resourceful, detail-oriented, and comfortable managing multiple priorities. This individual will work closely with senior leadership and interact with employees, customers, partners, industry representatives, government stakeholders, vendors, and visitors.

Key Responsibilities

Administrative & Leadership Support

  • Provide direct administrative support to the CEO and President.
  • Manage calendars, appointments, meetings, and scheduling priorities.
  • Coordinate business travel, accommodations, transportation, itineraries, and related logistics.
  • Coordinate internal and external meetings, including scheduling, logistics, meeting materials, and preparation as required.
  • Prepare correspondence, documents, presentations, agendas, meeting materials, and summaries.
  • Track action items, commitments, deadlines, and follow-ups to help ensure priorities are completed.
  • Maintain organized electronic and physical records, contact information, and documentation.
  • Assist with special projects and changing administrative priorities as required.
  • Handle confidential and sensitive information with professionalism and discretion.
  • Anticipate administrative needs and demonstrate strong follow-through on assigned responsibilities.

Communications, Social Media & External Coordination

  • Support members of the Executive Team in maintaining and developing their professional social media presence.
  • Assist with drafting, organizing, and scheduling professional social media content aligned with leadership messaging and company priorities.
  • Maintain an organized schedule of planned social media and communication activities.
  • Monitor social media engagement and prepare basic activity and engagement reporting.
  • Gather information, photographs, company updates, and other materials required for professional communications.
  • Help identify opportunities for members of the Executive Team to increase visibility through industry events, speaking opportunities, media, associations, and external outreach.
  • Coordinate outreach activities involving customers, partners, industry contacts, associations, and relevant government stakeholders.
  • Research and organize potential engagement opportunities with government bodies, industry associations, public agencies, and other relevant organizations.
  • Coordinate meetings and communications with external stakeholders.
  • Assist with preparing correspondence, briefing materials, background information, and summaries for external and government meetings.
  • Maintain organized records of stakeholder contacts, outreach initiatives, meetings, commitments, and follow-up activities.
  • Track required actions following meetings and outreach to help ensure timely follow-through.

HR, Employee Engagement & Office Administration

  • Provide administrative support to the Director of HR, People & Engagement as required.
  • Assist with onboarding and training coordination, including scheduling, documentation, and preparation of materials.
  • Assist with internal communications and distribution of company information.
  • Provide administrative and logistical support for employee engagement initiatives, recognition activities, celebrations, and company culture programs.
  • Support recruitment administration, including interview scheduling and candidate coordination when required.
  • Assist with the organization and coordination of company events, leadership activities, meetings, and internal milestones.
  • Greet visitors and serve as a professional point of contact for the Toronto office.
  • Maintain office and kitchen supplies and coordinate routine office requirements.
  • Liaise with vendors and service providers as required.
  • Maintain accurate and organized administrative documentation and files.

Qualifications & Experience

  • Minimum 3 years of experience in administration, coordination, communications, office support, stakeholder relations, or a similar professional support role.
  • Previous experience providing administrative support to senior leadership is strongly preferred.
  • Demonstrated experience managing calendars, coordinating meetings, arranging travel, and maintaining organized records and documentation.
  • Strong written and verbal communication skills with the ability to prepare clear and professional correspondence.
  • Strong organizational and time-management skills with the ability to manage multiple priorities.
  • Excellent attention to detail with demonstrated follow-through and accountability.
  • Proficiency with Microsoft Office, including Outlook, Word, Excel, PowerPoint, and Teams.
  • Familiarity with professional social media platforms, particularly LinkedIn.
  • Experience drafting, coordinating, or scheduling professional social media content is considered an asset.
  • Comfortable researching and coordinating external engagement opportunities involving customers, industry associations, partners, government representatives, and other stakeholders.
  • Experience supporting employee engagement, company events, onboarding, training administration, or HR activities is considered an asset.
  • Comfortable interacting professionally with senior leadership and a wide range of internal and external stakeholders.
  • Demonstrated ability to handle confidential and sensitive information appropriately.
